We are hiring our first dedicated Office Coordinator to be the point person for that layer of the business. You will run our Irvine office, keep inventory and outbound shipping on track, manage our office vendors, and become the person everyone goes to when something needs to happen.

 

What You Will Do

  • Serve as the Point Person for the Office. Be the first stop for anything the office needs: supplies, equipment requests, errands, and the day-to-day questions that come with them. Field employee queries on office management topics such as stationery, hardware, and travel arrangements, and either handle them or route them to the right person.
  • Own Reception and the Visitor Experience. Greet visitors, answer and route the main line, and triage the general inbox along with incoming mail and courier deliveries. Maintain the visitor log, issue and reclaim badges, and escort guests.
  • Organize and Maintain the Office. Organize the office layout, maintain the condition of the space, and arrange necessary repairs before small problems become disruptions.
  • Handle Packing, Shipping, and Order Fulfillment. Pick, pack, label, and ship customer orders, enrollment hardware, and technician deployment kits. Manage carrier accounts and rates, capture tracking and proof of delivery, use insured or signature-required service where a contract calls for it, and make sure time-critical shipments leave on time and arrive complete.
  • Track and Manage Inventory. Own the inventory cycle: place and receive orders, reconcile packing slips against what actually arrives, run counts, and set and manage reorder points so we never run short. Track equipment at serial level so we know what we have and where it is, and forecast needs against program volume. Handle equipment coming back from customers, agencies, and field sites: log the receipt, open warranty claims with manufacturers, and track units through repair or replacement.
  • Coordinate with IT on All Office Equipment. Partner with our Engineering and IT team on equipment logistics: receive and stage new laptops and peripherals, tag and record assets, ship configured devices to employees and field staff, and track who has what.
  • Liaise with Facility and Office Vendors. Manage the day-to-day relationship with facility management vendors, including cleaning, catering, and security services, plus building management.
  • Assist with Onboarding. Support People Ops on the onboarding process for new hires: desk and equipment ready, badge and access set up, welcome packet and swag prepared, and first-week logistics handled.
  • Plan Activities, Events, and Team Culture. Plan in-house activities, including celebrations, and conferences, and team events for our office-based employees.
  • Take Recurring Work Off the Executive Team. Look actively for recurring administrative and logistics work sitting with the Executive Team and take it over for good, rather than waiting to be handed it. Write down how that work runs so coverage never depends on one person being in the office.

Your Background

  • At least two years’ experience as an Office Coordinator or Administrative Assistant, or a similar role.
  • Working knowledge of office systems and procedures: ordering, receiving, shipping, vendor coordination, and record keeping.
  • Practical use of AI tools, Claude in particular. We run on Claude company-wide and AI competency is part of how everyone here is evaluated.
  • Proficiency in MS Office, particularly Excel and Outlook.
  • Hands-on shipping, receiving, or inventory experience is a strong plus.
  • Valid driver's license and reliable transportation, since the role includes local errands and shopping. Mileage is reimbursed.
  • Able to lift and move boxes and equipment up to 40 pounds, with or without reasonable accommodation.
  • On-site in Irvine, CA. This role cannot be performed remotely.
  • Employment is contingent on passing a fingerprint-based state and federal background check.

Compensation

The compensation for this role $25 - $28 per hour depending on experience. Plus benefits (medical, dental, vision insurance; on-site gym access; free parking pass).
