Position Summary:   

The Department of Microbiology and Immunology in the Jacobs School of Medicine and Biomedical Sciences, University at Buffalo, is seeking a Staff Assistant to provide administrative support to our Chair, Senior Staff Assistant, and faculty.

Responsibilities include, but are not limited to:

  • Managing Departmental Seminar Series including updating the calendar, creating seminar notices, arranging airfare and hotel accommodations, submitting catering orders, processing non-employee reimbursements, and submitting honorarium paperwork
  • Submitting new and renewal visa paperwork for Department personnel
  • Maintaining detailed account reconciliations for startup funds including order approvals and Procurement Card purchases
  • Preparing blanket orders and ordering office supplies
  • Assisting with annual student awards
  • Maintaining Department records including the website, directory, listservs, and HR files
  • Managing the Department’s asset inventory
  • Coordinating the JSMBS space survey
  • Collecting course evaluations and yearly teaching reports
  • Scheduling and collecting annual reviews
  • Package and university mail pickups
  • Submitting room reservations, building access requests, and various facilities forms

Minimum Qualifications: 

  • Bachelor’s degree OR Associate Degree with 3 years of related experience
  • Excellent oral, written, and interpersonal skills
  • Proficiency with Microsoft Office 365 products
  • Ability to work both independently and collaboratively
  • Capable of effectively managing competing priorities
  • Strong organizational and problem-solving skills

 

 

 

 

 

Preferred Qualifications:

 

  • Experience with administrative support at an academic institution
  • Knowledge of UB Administrative policies and management systems (e.g., SIRI, ePTF, ShopBlue, Concur)
