Company & Event Overview
SLAY Events is seeking an experienced, dependable, and solutions-oriented Seasonal Event Operations Coordinator to support a large-scale, public-facing holiday event at St. Louis Union Station.
This is a hands-on, on-site operations role for a professional who is comfortable working in a fast-paced live-event environment. You will help coordinate event operations, vendors, talent, staffing, guest experience, venue readiness, and day-to-day problem solving throughout the holiday season.
Position Overview
The Seasonal Event Operations Coordinator will work closely with the on-site event management team to help deliver a safe, organized, guest-ready experience each day. This role requires strong attention to detail, sound judgment, clear communication, and the ability to remain professional and resourceful during changing live-event conditions.
Key Responsibilities
Event Operations & Venue Readiness
- Support on-site coordination of vendor load-in and load-out schedules
- Inspect event areas before doors open to confirm spaces are clean, supplied, operational, and properly set with décor
- Monitor event spaces throughout operating hours and communicate operational needs to the appropriate team members
- Help manage the on-site office, inventory, supplies, and replenishment needs
- Monitor executive restroom trailers to help ensure they are functioning properly, cleaned regularly, and fully stocked
Staff, Talent & Hospitality Coordination
- Assist with event staff and talent coordination during shifts
- Manage staff and talent check-in and check-out procedures
- Support talent positioning and adherence to show, costume, and character expectations
- Coordinate costume, prop, and accessory inventory, maintenance, cleaning, and organization
- Coordinate talent meals and beverages; confirm catering setup is complete before talent arrival
- Assist with staff and talent catering needs as assigned
Guest Experience & On-Site Support
- Maintain familiarity with event timelines, property activities, and operating hours
- Help communicate event timing and directional information to guests as needed
- Support guest flow and a positive, organized guest experience
- Follow applicable event safety procedures, venue policies, and guest-flow protocols
Troubleshooting & Communication
- Identify and respond to on-site operational issues in a timely, professional manner
- Resolve routine challenges when appropriate and escalate issues to the Event Manager when additional support or direction is needed
- Communicate clearly with event management, vendors, staff, talent, and venue partners
Qualifications & Experience
- At least 3 years of on-site experience in event coordination, event operations, live events, entertainment, theater, hospitality, venue operations, attractions, festivals, or a related field
- Demonstrated ability to work effectively in a fast-paced, public-facing environment
- Strong organizational skills, attention to detail, reliability, and follow-through
- Calm, professional problem-solving skills and the ability to adapt to changing operational needs
- Experience coordinating vendors, staff, talent, guest services, or event logistics is strongly preferred
- Bachelor’s degree preferred; directly relevant professional experience will also be considered
Schedule & Availability
- Seasonal on-site assignment from November 10, 2026 through December 30, 2026
- Must be available to work a schedule that includes evenings, weekends, and holidays
- Candidates should be prepared for a variable live-event schedule based on operational and event needs
Physical & Work Environment Requirements
- Ability to stand and walk for extended periods
- Ability to lift and carry items weighing up to 30 pounds
- Comfortable working in both indoor and outdoor event environments
- Willingness to work outdoors in varying weather conditions, including rain, snow, and sunshine
Compensation
- $18.00-$25.00 per hour, based on relevant experience
- Overtime available for hours worked beyond 40 hours in a workweek
