OAI Operations & Communications Student Assistant
The ICS Stacey Nicholas Office of Outreach, Access, and Inclusion (OAI) invites applications for two OAI Operations & Communications Student Assistant positions.
Student Assistants play an important role in the daily operations of OAI. This position is primarily responsible for supporting the OAI Hub and front desk while also contributing to communications, technology, AI, automation, and other special projects that strengthen OAI's programs and operations.
We are looking for dependable, proactive students who are comfortable working with people, learning new tools, and taking ownership of projects.
About OAI
The Stacey Nicholas Office of Outreach, Access and Inclusion (OAI) works to recruit, retain, and graduate talented undergraduate and graduate students within the Donald Bren School of Information and Computer Sciences (ICS).
OAI develops programs, resources, partnerships, and student support initiatives that strengthen access, student success, community, and opportunity across ICS.
What You’ll Do
Approximately 70% of this position will focus on OAI Hub and office operations, with the remaining 30% dedicated to communications, AI, automation, and other special projects.
OAI Hub & Office Operations
- Serve as a front-desk representative for the OAI Hub
- Welcome students, visitors, faculty, staff, and community partners
- Help maintain a welcoming, organized, and professional Hub environment
- Answer general questions and connect students with appropriate OAI and ICS resources
- Assist with student check-in, appointments, room usage, and Hub activities
- Help maintain supplies, snacks, equipment, and shared spaces
- Support OAI events, workshops, programs, and student engagement activities
- Assist with administrative tasks, data entry, documentation, and program tracking
- Support other office projects as assigned
Communications & Content
Student Assistants may contribute to OAI's communications strategy and content development in partnership with the Director and OAI staff.
Projects may include:
- Help develop OAI's quarterly and annual communications plans
- Create and maintain social media content calendars
- Develop content for Instagram and other social platforms
- Create graphics, flyers, and promotional materials
- Produce short-form video, Reels, photography, and other digital content
- Write student stories, program highlights, announcements, and event promotions
- Assist with newsletters, website content, and email communications
- Develop communications campaigns that increase awareness and participation in OAI programs
- Track engagement and recommend ways to improve OAI's communications
AI, Technology & Automation
Student Assistants may also help OAI explore how AI and automation can improve office operations and student programs.
Projects may include:
- Use generative AI tools to support research, writing, communications, planning, and administrative workflows
- Explore AI coding and development tools such as Claude Code, OpenAI Codex, and Google Antigravity
- Help prototype AI-enabled tools, agents, or internal workflows
- Build automations using tools within Google Workspace, Notion, APIs, scripts, and other platforms
- Identify repetitive OAI processes that could be simplified or automated
- Help test, document, and improve AI-enabled workflows
- Create documentation and guides so OAI staff can effectively use new tools
- Assist with maintaining OAI's internal data and knowledge-management systems
Prior experience with AI coding harnesses or building automations is not required. We are especially interested in students who are curious about these tools and willing to learn.

Required Qualifications
- Currently enrolled UC Irvine undergraduate student
- Dependable, punctual, and able to consistently fulfill scheduled shifts
- Strong organizational skills and attention to detail
- Ability to work independently while also collaborating with OAI staff and other student employees
- Strong interpersonal and communication skills
- Ability to interact effectively with students, faculty, staff, and visitors from a wide range of backgrounds
- Comfortable learning new technology and digital tools
- Ability to manage multiple responsibilities and follow through on assigned projects
- U.S. work authorization
Preferred Qualifications
We are hiring two students with complementary skill sets, so applicants are not expected to have experience in every area below.
Experience or interest in one or more of the following is preferred:
Communications & Creative
- Social media content creation
- Communications planning or campaign development
- Graphic design using Canva, Figma, Adobe tools, or similar platforms
- Photography or videography
- Short-form video and Reels
- Writing newsletters, web content, promotional copy, or student stories
Technology, AI & Automation
- Generative AI tools such as ChatGPT, Claude, Gemini, or similar platforms
- AI coding harnesses such as Claude Code, Codex, or Antigravity
- Programming, scripting, APIs, or GitHub
- Building automations or improving digital workflows
- Notion, Google Workspace, databases, or knowledge-management systems
- Interest in experimenting with emerging AI technologies
Applicants who are highly organized and reliable but still developing their technical or communications skills are encouraged to apply.
Expected Commitment
- Hours: Approximately 10–15 hours per week
