HR/Admin Assistant
Job Summary
We are seeking a dynamic and detail-oriented HR/Admin Assistant to join our vibrant senior living company based in Arizona. This position offers an exciting opportunity to contribute to a compassionate community dedicated to enhancing the lives of our residents and staff alike.
1. Compliance & Credential Tracking
- Monitor Expirations: Maintain strict oversight of state-required licenses, CPR certifications, background checks, and health clearances using digital checklists.
- Audit Readiness: Keep all compliance logs up-to-date to ensure our facility is always prepared for state audits and regulatory reviews.
- Notification Management: Alert employees and facility managers well in advance of upcoming credential renewals.
2. Facility Management Support
- Leadership Assistance: Act as the primary administrative partner for facility directors, freeing them up to focus on direct resident care and operational leadership.
- Reporting: Prepare weekly status updates on staffing, onboarding bottlenecks, and compliance health for management meetings.
- Internal Communication: Serve as a responsive, friendly point of contact for routine employee inquiries regarding policies, portals, and paperwork.
3. Onboarding & Recruitment
- Applicant Screening: Review incoming caregiver applications and conduct initial screening before scheduling phone interviews for leadership.
- Job Postings: Assist with drafting, posting, and maintaining active job ads across recruitment channels.
- Digital Onboarding: Guide new hires through electronic offer letters, tax documents, state background check portals, and profile setup.
4. Digital Records Management
- E-Filing: Maintain clean, organized, and strictly confidential electronic personnel records in our cloud databases.
- Data Integrity: Regularly audit employee files to ensure complete documentation from day one of hire through offboarding.
Qualifications & Requirements
- Experience: 1+ years of administrative, customer service, scheduling, or data entry experience.
- High Computer Literacy: Advanced proficiency with Google Workspace (Docs, Sheets, Drive), Microsoft Office (Excel, Word), and email/messaging software. Quick to learn new software platforms.
- Attention to Detail: Exceptional organizational skills and a natural knack for tracking deadlines and multi-step processes.
- Discretion & Ethics: Demonstrated ability to handle sensitive employee and healthcare information with complete confidentiality.
- Communication: Clear, professional written and verbal communication skills.
- Remote Work Environment and Applications: A quiet home office setup, reliable computer, and high-speed internet connection. Existing experience with Google suite applications and leading AI models.
