Grand Center - St. Louis Symphony Orchestra - Facilities Event Coordinator

The Facilities Event Coordinator supports the day to day operations of Powell Hall and serves as a key point of coordination for events, performances, rehearsals, rentals, and other activities taking place throughout the organization’s facilities. This position works closely with the Director of Facilities, Production, Events, Security, Guest Services, vendors, and other departments to ensure spaces are safe, clean, properly prepared, and ready for use. 

The Facilities Event Coordinator is responsible for coordinating event setups and breakdowns, tracking facility needs, communicating event requirements, supporting vendors and contractors, and helping ensure successful execution of events from a facilities perspective. This position requires strong organization, attention to detail, communication skills, and the ability to prioritize multiple tasks in a fast-paced environment.

 

Duties and Responsibilities: 

  • Serve as a Facilities point of contact during designated events and activities.
  • Provide on-site support for event setup, operations, and breakdown as needed.
  • Respond to facility issues during events and coordinate appropriate solutions.
  • Coordinate with Security and event staff regarding building access, parking, deliveries, emergencies, and other operational concerns.
  • Assist with after-hours and weekend events as required.

 

Required Qualifications/Skills: 

  • Must have accepted a Federal Work-Study award for the current academic year.
  • Ability to lift and move equipment, furniture, tables, chairs, and other items as needed.
  • Ability to stand, walk, bend, kneel, climb stairs, and work throughout the facility for extended periods.
  • Must be comfortable working in backstage, loading dock, mechanical, and other non-public areas, however is not required to perform said work.
  • Ability to work evenings, weekends, holidays, and non-traditional hours based on the event schedule.
  • Must be able to respond to changing event and facility needs with limited notice.
