CAS Dean’s Office Student Communications & Office Assistant
Unit Summary
The College of Arts and Sciences Dean’s Office is an administrative unit consisting of the CAS Dean, their leadership team, and staff, that supports the academic operations of the college. As the largest college within the university, supporting nearly two-thirds of the university’s faculty, staff, and student body, the Dean’s Office plays a critical role in the University’s operations and educational mission.
Within the Dean‘s Office, the Undergraduate Education Team is charged with ensuring that undergraduate students have a rich liberal arts experience in which they can thrive academically and that prepares them for a purposeful life after college. The team spearheads academic advising and career readiness initiatives as well as playing a leading role in core education efforts in the college.
Position Summary
The Student Communications & Office Assistant position will provide clerical support to the Dean’s Office and work directly with the Undergraduate Education Team, including front desk reception, greeting visitors, answering the main phone line, office inventory, and support the creation of messaging to students, faculty, and campus partners related to liberal arts education, student success, academic advising, and career readiness for CAS undergraduate students. This is a customer service position that is public-facing and involves direct interaction with faculty, staff, students, and visitors.
This is an in-person position, located in Tykeson Hall on the Eugene Campus. Work hours are contingent upon student availability and operational need. The Student Communications & Office Assistant can expect to work about 20 hours per week, within regular business hours (M-F, 8am-5pm).

Job Duties
Front desk reception (answering phone calls, emails, messages, and redirecting)
Greet and assist office visitors
Distribute mail
File management
Maintain office appearance and minor cleaning (filling supplies, watering plants, dusting, wiping surfaces, etc.)
Photograph/film and edit projects for the Undergraduate Education Team
Edit social media posts across multiple platforms (Instagram, LinkedIn, etc.)
Graphic design of visual content using Adobe Creative Suite, Canva, etc.
Proofread and edit materials in AP and Chicago styles
Website content management in various website creation programs (Drupal, WordPress, etc.)
Minor project management using various programs (Wrike, Trello, etc.)
Perform other duties as assigned
Qualifications
Required
Currently enrolled student
Strong written and verbal communication skills
Proactive, self-motivated, detail-oriented, deadline-driven
Comfortable giving and receiving feedback
Comfortable answering phones and responding to emails
Ability to work independently and follow written and verbal instructions
Prior customer service or front desk experience
Proficiency in MS Word, PowerPoint, Excel, and Teams
Excellent organizational skills
Strong eye for photographic lighting and composition
Proficient with design, layout, and graphics software applications
Preferred
Familiarity with an office environment
Experience in higher education and/or administration
Familiarity with digital communications tools (e.g. Google Analytics, WordPress, CRMs, etc.)
Experience with photography and videography
Scheduling Information
This is an in-person position, located in Tykeson Hall on the Eugene Campus. Work hours are contingent upon student availability and operational need. The Student Communications & Office Assistant can expect to work about 20 hours per week, within regular business hours (M-F, 8am-5pm). Must be able to work on Fridays, around your class schedule.
8 hours of trainings to be completed within the first two weeks of scheduled shifts in topics including, but not limited to: phone/Teams calls, MS products, confidentiality, FERPA, etc.
Over summer term, this position can expect shorter hours (8-10 hours/week), contingent upon operational need and budget.
