Executive Assistant- Paid Internship - Real Estate Development

Job Title: Executive Assistant to Principal / Executive Team

Location: San Francisco, CA- In Person 

Employment Type: Full-Time

We are a growing design + build firm specializing in high-end residential client projects, and personal developments. Our work combines thoughtful design, quality craftsmanship, and exceptional client service. We are seeking a highly organized, proactive Executive Assistant to support company leadership with both professional and occasional personal administrative responsibilities.

Position Overview: 

The Executive Assistant will serve as a trusted partner to the firm's principal, helping manage schedules, communications, projects, and day-to-day logistics. This role requires exceptional organization, discretion, attention to detail, and the ability to anticipate needs in a fast-paced environment.

Key Responsibilities: 

Executive & Administrative Support

    •    Manage calendars, appointments, and scheduling.

    •    Coordinate meetings, travel arrangements, and itineraries.

    •    Screen and prioritize emails, calls, and correspondence.

    •    Prepare reports, presentations, and meeting materials.

    •    Track deadlines, follow-ups, and action items.

Project & Office Coordination:

    •    Assist with project documentation and client communications.

    •    Coordinate with designers, contractors, vendors, and consultants.

    •    Organize digital files, contracts, and project records.

    •    Support office operations and administrative processes.

Personal Assistance

    •    Handle personal scheduling and appointments.

    •    Assist with professional errands and special projects as needed.

    •    Manage confidential information with professionalism and discretion.

Qualifications: 

    •    Strong organizational and time-management skills.

    •    Excellent written and verbal communication.

    •    Proficiency with Google Workspace, Microsoft Office, and scheduling tools.

    •    Ability to manage multiple priorities independently.

    •    High level of discretion and professionalism.

    •    Education focus in architecture, interior design, construction, real estate, or design-build industries is a plus.

Desired Traits: 

    •    Resourceful problem-solver.

    •    Detail-oriented and highly dependable.

    •    Comfortable working in a dynamic entrepreneurial environment. This includes touring job sites with occasional construction dust.

  • Bilingual in Spanish is a plus. 

    •    Positive attitude and strong interpersonal skills.

    •    Ability to anticipate needs before being asked.
