Design & Production Studio Assistant
Location: Linthicum, MD / Washington, DC Metro Area
Employment Type: Paid part-time position, with potential to grow
Schedule: 10–20 hours per week, flexible; additional hours may be available during busy project periods, installations, or holiday décor seasons
Compensation: $18–$23/hour, based on experience

About Rooted Wonders
Rooted Wonders is a women- and minority-owned boutique botanical design studio based in the Washington, DC Metro area. We specialize in preserved moss walls, faux greenery, faux florals, custom planters, seasonal décor rental services, and branded botanical installations for commercial spaces.
Our work blends nature, design, craftsmanship, and storytelling to create spaces that feel warm, elevated, polished, and connected to their surroundings. We are a small, growing studio with a creative, hands-on environment where every project is different and every detail matters.

About the Role
Rooted Wonders is looking for a creative, highly organized, and reliable Design + Production Studio Assistant to support both the creative design and hands-on production sides of the studio.
This role is ideal for someone who enjoys design, interiors, plants, events, hospitality, visual presentation, and creative production, but is also strong with organization, communication, time management, follow-through, and details.
The role will include a mix of Canva proposals, pricing support, renderings or visual mockups, product sourcing, project coordination, site visits, studio production, installation support, warehouse organization, and general studio assistance.
The right person should be comfortable moving between computer-based design support and hands-on studio work, including organizing products, prepping materials, assisting with production, and supporting occasional installs.
Some tasks may be completed remotely after training, but this role also requires in-person work at the Linthicum, MD studio/warehouse, as well as occasional site visits, project prep, and installations throughout the DC/MD/VA area.
Availability during busy project periods and holiday/seasonal décor prep is important.
Key Responsibilities
Design, Proposals + Client-Facing Materials
- Assist with Canva presentations, client proposals, design boards, mood boards and visual concepts
- Help create polished, organized, client-facing proposal materials that reflect the Rooted Wonders brand and design style
- Support renderings, visual mockups, photo markups, product layouts, and design presentation pages
- Turn project notes, inspiration images, site photos, product links, measurements, and design direction into organized proposal materials
- Assist with scope summaries, pricing organization, estimate details, proposal updates, and project documents
- Organize project photos, portfolio images, before/after images, design references, and client presentation materials
Product Sourcing, Pricing + Vendor Research
- Research faux plants, planters, moss, florals, seasonal décor, signage, hardware, installation materials, and vendor options
- Compare product options based on look, scale, quality, availability, lead time, pricing, dimensions, and fit for the design
- Help organize vendor links, product pricing, dimensions, quantities, lead times, shipping notes, and product alternatives
- Support pricing organization by tracking material costs, quantities, product selections, substitutions, and project details
- Assist with vendor order prep, purchase tracking, order follow-up, and product organization
- Flag any missing information that could impact a proposal or project timeline
Project Coordination + Assistant Support
- Help track multiple client projects, deadlines, next steps, follow-ups, product needs, and open tasks
- Maintain task lists, project trackers, project folders, client notes, and follow-up items
- Take clear notes during vendor calls, project planning conversations, internal check-ins, and meetings
- Communicate updates, questions, issues, and missing information clearly and in a timely manner
- Help keep projects moving by staying organized, remembering details, following up, and prioritizing tasks without constant reminders
- Assist with general administrative support, file organization, email drafts, project summaries, and day-to-day business support
Site Visits, Measurements + Project Prep
- Support occasional site visits throughout the DC/MD/VA area
- Take notes, photos, measurements, and observations during site visits
- Help review site photos, dimensions, renderings, inspiration images, and design direction after site visits
- Translate site visit details into proposal notes, product needs, production plans, project documents, and next steps
- Help identify what needs to be measured, confirmed, ordered, packed, prepped, or clarified before a project moves forward
- Represent Rooted Wonders professionally around clients, designers, contractors, property managers, building teams, and vendors
Studio Production, Install Support + Warehouse Organization
- Assist with studio production for preserved moss walls, faux planters, floral arrangements, seasonal décor, and custom botanical installations
- Prep, pack, label, load, unload, transport, and organize project materials, tools, supplies, and installation items
- Support inventory intake, including checking orders, unpacking products, labeling items, organizing materials, and flagging missing or incorrect items
- Assist with quality control, touch-ups, repairs, finishing details, and project prep before items leave the studio
- Help maintain a clean, organized, and functional studio/warehouse, including tools, samples, supplies, inventory, and product references
- Support occasional installations, site visits, client/vendor meetings, industry events, and holiday/seasonal décor prep, including post-season storage
Required Qualifications / Must-Haves
- Creative, organized, reliable, and highly detail-oriented
- Strong Canva experience and comfort creating client-facing presentations, mood boards, proposal pages, or visual materials
- Strong eye for design, layout, balance, color, product selection, scale, and presentation
- Able to manage multiple projects, tasks, and deadlines at the same time without getting overwhelmed
- Strong note-taking skills, with a good memory for details and the ability to accurately capture next steps, questions, measurements, product details, and follow-up items
- Reliable communicator who gives updates, asks questions, follows through, and keeps projects moving
- Strong time management skills and ability to prioritize tasks without constant reminders
- Comfortable researching products, comparing pricing, dimensions, lead times, vendor links, and product options
- Comfortable using Google Drive, Gmail, Canva, and basic spreadsheets or project documents
- Comfortable switching between computer work, creative design support, studio organization, and hands-on production
- Proactive, resourceful, solution-oriented, and willing to help figure things out when project needs change
- Positive, calm under pressure, open to feedback, and willing to adjust quickly when needed
- Comfortable working in a fast-moving, non-corporate creative studio and small business environment
- Flexible availability during busy project periods, installations, and holiday/seasonal décor prep
- Valid driver’s license and reliable transportation required for studio work, site visits, vendor meetings, and occasional project/install support throughout the DC/MD/VA area
- Local to the DC/MD/VA area and able to work from the Linthicum, MD studio/warehouse when needed
- Interested in helping build, organize, and grow a small creative business
Physical / Hands-On Requirements
This role includes hands-on studio and project support. Applicants should be comfortable with:
- Standing, bending, reaching, and working with hands for extended periods
- Helping lift and carry project materials, tools, boxes, planters, and installation supplies
- Packing, organizing, labeling, and moving materials
- Working in a studio/warehouse environment
- Assisting with project prep, production, site visits, and occasional installations
- Working on active client sites, including offices, lobbies, hotels, commercial buildings, and event-style spaces when needed
Helpful Experience, But Not Required
- Experience creating renderings, visual mockups, proposal graphics, presentation boards, or product layouts
- Experience with interior design, floral design, event design, architecture/interiors, visual merchandising, hospitality, marketing, or creative business
- Experience with product sourcing, vendor research, pricing organization, inventory intake, purchasing support, or project coordination
- Experience reading measurements, basic floor plans, elevations, renderings, construction drawings, design concepts, or project instructions
- Experience with hands-on creative work, florals, installations, displays, seasonal décor, styling, art, set design, event production, or visual merchandising
- Experience with administrative support, assistant work, task tracking, file organization, or studio operations
- Experience with social media, photography organization, portfolio updates, or website content is a plus, but this is not the main focus of the role
- Interest in biophilic design, botanical design, sustainability, creative production, interiors, hospitality, or small business ownership
- Experience using AI tools effectively, including writing clear prompts and using AI to support research, organization, proposal prep, and creative workflows

Compensation + Growth
This role is paid hourly, typically 10–20 hours per week depending on availability, project needs, and schedule. Additional hours may be available during busy project periods, installations, and holiday décor seasons.
Rooted Wonders is looking for someone who wants to grow with us. While this role may begin as part-time, there is potential for a larger part-time or full-time position in the future for the right person.
