Trade Operations & Compliance Assistant Officer

Location: Union City, San Francisco Bay Area, California

Work Model: Full-time, on-site

Base Salary: $60,000-$80,000 per year, depending on experience and qualifications

Benefits: Standard company benefits package.

Annual Bonus: Eligible employees may be considered for an annual performance-based bonus based on individual and company performance. Bonus eligibility, amount, and payment are subject to the applicable company bonus plan and are not guaranteed.

Position Overview

We are seeking a detail-oriented Trade Operations & Compliance Assistant Officer to support import/export documentation, shipment records, supplier and customer files, internal approvals, and day-to-day trade operations. Candidates with relevant industry experience will receive priority. Strong recent graduates may also be considered if they have a related academic background and relevant internship, coursework, project, or practical experience.

Key Responsibilities

• Collect, organize, review, and maintain trade and commercial documentation.

• Assist with commercial invoices, packing lists, purchase orders, sales orders, bills of lading, certificates of origin, and delivery records.

• Review files for missing information, inconsistent data, incomplete approvals, or other discrepancies.

• Enter and maintain supplier, customer, shipment, product, and order information in spreadsheets or internal systems.

• Follow up with suppliers, freight forwarders, warehouses, carriers, customers, and internal teams on missing documents and open items.

• Track shipment milestones, document status, deadlines, and unresolved issues.

• Support onboarding documentation for customers, suppliers, and service providers.

• Assist with audits, claims, internal reviews, purchasing, filing, and vendor communication.

• Escalate compliance or documentation concerns promptly.

• Protect confidential customer, supplier, financial, and company information.

Qualifications

• Bachelor's degree in International Trade, Supply Chain Management, Logistics, Law, Business Administration or a related field preferred.

• 1-3 years of experience in import/export, supply chain, logistics, procurement, compliance support, order management, or business administration is preferred.

• Relevant industry experience is preferred; strong recent graduates may be considered with a related degree and relevant internship or project experience.

• Basic understanding of commercial documents, purchasing, logistics, order processing, or contract records.

• Strong Excel or Google Sheets skills.

• Strong attention to detail, organization, communication, and follow-through.

• Mandarin-English bilingual ability is preferred.

Technology & AI Readiness

Comfort with spreadsheets, document-management systems, ERP or order-management tools, and approved AI productivity tools is preferred. Candidates must verify AI-assisted content before use.

Employees are expected to use modern business software and approved digital tools effectively.

AI-assisted work must be independently reviewed for accuracy, confidentiality, and compliance.
