School Front Office Manager

Learning Springs Academy is seeking a highly organized, professional, warm, and dependable School Front Office Manager to join our administrative team.

The Front Office Manager is an essential part of our school community and serves as the welcoming first point of contact for students, families, staff, and visitors. This position requires someone who can balance excellent customer service with strong administrative skills, confidentiality, attention to detail, and the ability to manage multiple priorities in a busy school environment.

The ideal candidate is someone who genuinely enjoys working with children and families, is comfortable taking initiative, and can remain calm, organized, and professional throughout the school day.

Key Responsibilities

Front Office & School Operations

  • Manage the daily operations of the school front office.
  • Greet students, parents, staff, and visitors in a warm and professional manner.
  • Answer and direct incoming phone calls, emails, and other communications.
  • Manage student sign-in/sign-out and daily attendance records.
  • Maintain accurate student files, records, and confidential information.
  • Monitor the front entrance and ensure appropriate visitor procedures are followed.
  • Coordinate school deliveries, mail, supplies, and general office needs.
  • Assist with daily school logistics and operational needs.

Parent & Family Communication

  • Serve as a primary point of contact for routine parent and family questions.
  • Communicate school policies, procedures, schedules, and reminders clearly and professionally.
  • Assist with enrollment inquiries, registration paperwork, tours, and new student onboarding.
  • Maintain a positive and welcoming relationship with families while appropriately directing sensitive matters to school administration.

Administrative Support

  • Provide administrative support to the Executive Director and school leadership.
  • Assist with calendars, meetings, correspondence, forms, and school communications.
  • Maintain organized electronic and paper filing systems.
  • Assist with tuition, invoices, payments, and other administrative records as assigned.
  • Prepare documents, spreadsheets, reports, and correspondence.
  • Assist with school events, meetings, parent activities, and special projects.
  • Support staff with administrative needs and help ensure smooth day-to-day school operations.

Student Support & Safety

  • Help maintain a safe, orderly, and welcoming school environment.
  • Follow school safety, emergency, confidentiality, and child-protection procedures.
  • Assist with student needs in the office when appropriate.
  • Communicate promptly with teachers and administration regarding student or safety concerns.
  • Maintain confidentiality regarding student, family, and staff information.

Qualifications

  • Previous experience in a school, childcare, administrative, medical, or customer-service environment preferred.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Professional, friendly, and approachable demeanor.
  • Strong attention to detail and follow-through.
  • Ability to multitask and prioritize in a busy environment.
  • Comfortable working independently and as part of a team.
  • Proficiency with email, Microsoft Office/Google Workspace, spreadsheets, and general office technology.
  • Experience with school management or student information systems is a plus.
  • Experience working with children with special needs is highly desirable.
  • Ability to maintain strict confidentiality and exercise sound judgment.

Required Clearances

Applicants must have, or be able to obtain:

  • California DOJ and FBI fingerprint clearance
  • TB clearance
  • Any additional clearances or training required by the school
