Opportunity Overview
You’ll work directly with Valerie, who leads brand strategy, team development, and store operations for Badd Kitty and Noir Leather. Rather than spending your time on repetitive busywork, you’ll help coordinate projects, prepare business communications, organize travel and meetings, track priorities, and keep important initiatives moving forward.
This is an excellent opportunity to develop practical skills in business operations, project management, leadership support, communication, marketing coordination, and multi-location retail management. You’ll gain behind-the-scenes exposure to how business decisions are made while receiving direct guidance from an experienced operational leader.
The position offers a consistent 20-hour weekly schedule, remote flexibility, and the chance to take genuine ownership of your work. Position Summary
We are seeking a highly organized, proactive, and dependable Part-Time Executive and Operations Assistant to provide direct administrative and operational support to company leadership.
This individual will help organize executive priorities, review daily business performance, prepare meeting materials, triage email, coordinate travel, support inventory and human resources processes, and ensure required store paperwork is completed accurately and on time.
The ideal candidate will be comfortable working across multiple departments and locations. This position will be 100% remote , however. This person must be able to gather information, identify important issues, follow up with managers and employees, and present company leadership with clear, organized updates.
This is not a position that simply waits for assignments. The Executive and Operations Assistant will be expected to maintain recurring systems, anticipate deadlines, monitor compliance, and proactively communicate what has been completed, what remains outstanding, and what requires executive attention.
Work Schedule
This is a part-time position consisting of 20 hours per week.
The regular schedule will be:
Monday: 9:00 a.m.–2:00 p.m. or similar time block
Tuesday: 9:00 a.m.–2:00 p.m. or similar time block
Thursday: 9:00 a.m.–2:00 p.m. or similar time block
Saturday: 9:00 a.m.–2:00 p.m. or similar time block
These hours are flexible but we do need 4 days a week , 5 hours a day availability with some overlap during normal business hours.
Occasional schedule adjustments may be requested for meetings, travel coordination, company events, or special projects. Additional hours or schedule changes must be discussed and approved in advance.
The Executive and Operations Assistant is not expected to be regularly available outside scheduled working hours.
Daily Executive Status Message
By 10:00 a.m. on each scheduled workday, the assistant will provide leadership with a concise but detailed status message.
The update will include:
Previous Day’s Sales Results
Recap the previous day’s total sales results.
Identify one or two positive highlights.
Identify one or two opportunities that may require attention.
Note any significant store, department, transaction, average-sale, or staffing concern reflected in the results.
Current Weekly Sales Position
Recap where the stores and company stand for the current week.
Identify one or two positive highlights.
Identify one or two opportunities that should be addressed.
Note stores that are ahead of goal, close to goal, or falling behind.
Identify any trends or unusual results that leadership should review.
Daily Schedule and Meetings
List all meetings, appointments, interviews, calls, deadlines, and travel commitments scheduled for the day.
Confirm meeting times, participants, and necessary links or locations.
Prepare and organize the reports, agendas, notes, sales results, or other documents needed for each meeting.
Clearly identify any preparation or decisions executives must complete before a meeting.
Regular meetings may include:
Weekly Tuesday conference calls with managers.
Weekly marketing calls held on Wednesdays.
Monthly marketing calls with DMS and the buyer.
Other operational, vendor, staffing, or project meetings as scheduled.
When the assistant is not scheduled to attend a meeting, all required documents and preparation materials should be completed during the prior scheduled shift.
Email Triage
Review incoming email and provide an organized summary of important messages.
Emails should be categorized as:
Reply Needed From Leadership
Messages requiring the leader's authority, opinion, approval, or direct response.
Include a short summary and the requested response deadline.
Draft a proposed response when appropriate.
Assistant Will Handle
Routine messages, scheduling requests, document requests, confirmations, and follow-ups that the assistant is authorized to complete.
Note what action will be taken and when it will be completed.
Collaboration Needed
Messages requiring information or decisions from both the leader and the assistant.
Clearly state what information is needed from the leader and what the assistant will complete.
Informational Only
Important information the leader should know but that does not require an immediate response.
Urgent matters should be brought to the leader's attention promptly rather than held for the next scheduled update.
Weekly Planning With Executive
Weekly Priority Meeting
Meet with the leader each week to:
Review the upcoming schedule and major priorities.
Identify deadlines, meetings, travel, store needs, and projects requiring attention.
Determine which responsibilities belong to the leader, the assistant, or another team member.
Review open items and unresolved follow-ups.
Update the master project and task tracker.
Identify the decisions the leader must make that week.
Plan the schedule for store visits.
Store Visit Planning
Help determine which stores should be visited and when.
Coordinate the schedule around meetings, staffing needs, store priorities, and travel.
Confirm appointments with District Managers, store managers, vendors, and other participants.
Prepare relevant sales, staffing, inventory, or operational information before each store visit.
Create a clear itinerary for each trip.
Travel Coordination
Arrange business travel for trips to Charleston, Detroit, and other Michigan locations, including trips related to potential growth locations.
Responsibilities may include:
Researching and arranging flights, lodging, and ground transportation.
Organizing rental vehicles when needed.
Coordinating store visits, property tours, vendor meetings, and other appointments.
Preparing complete travel itineraries.
Maintaining confirmation numbers, addresses, contact information, and meeting details.
Tracking travel-related receipts and documents.
Confirming that the leader has the reports or materials needed for the trip.
All travel arrangements and related expenses must receive approval before booking.
Weekly Administrative Support
Incentive and Timesheet Review
Review weekly incentive sheets for accuracy and completion.
Review timesheets and identify missing or inconsistent information.
Follow up with District Managers regarding corrections, adjustments, or missing selling hours.
Enter weekly incentive information into the appropriate tracking system.
Confirm that District Managers have entered required adjustments and selling hours.
Prepare and send final approved incentive results to the stores.
Escalate unresolved discrepancies the leader or the appropriate payroll contact.
Store Paperwork Compliance
Track whether each store submits required weekly paperwork by the established deadline.
Maintain a checklist showing what has and has not been received.
Follow up with District Managers regarding missing, incomplete, or late paperwork.
Document repeated delays or compliance problems.
Notify leader when required paperwork remains outstanding after follow-up.
Organize completed paperwork in the appropriate digital or physical files.
Chargeback Support
Enter chargeback information as requested by the Controller.
Confirm that all required information and supporting documents are included.
Maintain an organized record of completed and outstanding chargeback requests.
Follow up when additional documentation is needed.
Protect confidential customer and financial information.
Inventory and Purchasing Support
Noir Leather Purchase Orders
Enter purchase orders for Noir Leather merchandise orders.
Verify vendor, item, quantity, cost, and delivery information before submission.
Maintain organized purchase-order records.
Track order confirmations and expected delivery dates.
Follow up on missing confirmations, delayed shipments, incorrect items, or incomplete deliveries.
Report significant discrepancies or delays.
Inventory Coordination
Assist with inventory-related administrative work, including:
Coordinating inventory transfers for large events.
Tracking merchandise needed for promotions and special events.
Following up on special-event product orders.
Communicating with stores, buyers, vendors, marketing, and other departments regarding inventory needs.
Confirming that transferred or specially ordered merchandise reaches the correct location.
Maintaining a record of outstanding inventory requests.
Helping gather inventory information needed for purchasing and promotional decisions.
Following up with appropriate departments regarding unresolved inventory issues.
Markdown Compliance
Follow up with the compliance team regarding approved markdowns.
Confirm that markdown information has been communicated to affected stores.
Track whether stores have completed required price changes.
Document outstanding markdown responsibilities.
Escalate delays or inconsistencies to the appropriate department.
Monthly Operational Responsibilities
Store Supply Review
Review monthly store supply orders.
Compare spending between stores and against established expectations or budgets.
Identify unusual purchases, duplicate orders, or possible overspending.
Follow up with District Managers or store managers when clarification is required.
Prepare a summary of concerns before final approval.
Monthly Promotion Register Guide
Create a simple register cheat sheet for each month’s promotions.
Include promotion dates, eligible products, discount amounts, exclusions, coupon requirements, and register instructions.
Confirm promotional information with marketing, buying, and operations before distribution.
Send the completed guide to all participating stores.
Update the guide promptly if promotional details change.
Google Review Tracking
Review the Google business profile for each store every month.
Record the current rating and total number of reviews.
Calculate the number of new reviews received during the month.
Identify reviews that may require a response or leadership attention.
Prepare a monthly comparison by store.
Maintain historical tracking so review growth and rating changes can be monitored.
Store and Associate Statistics
Create a monthly store and associate statistics publication.
Compile approved sales and performance information.
Highlight notable store and associate achievements.
Verify the accuracy of all information before distribution.
Format the publication clearly and consistently.
Send the completed report to the approved recipients.
Department Sales Reporting
Create the monthly department sales report.
Compile sales by department, category, store, or other requested measurement.
Compare results to prior periods or company averages when requested.
Identify significant changes, strengths, and areas of concern.
Submit the completed report by the established deadline.
Human Resources Administrative Support
New-Hire Kits
Prepare a complete new-hire kit for each new employee.
Include the required forms, policies, training materials, checklists, and store-specific information.
Confirm that the appropriate manager receives the kit before the employee’s start date.
Track any missing documents or signatures.
New-Hire Paperwork Compliance
Review completed new-hire paperwork for completeness and required signatures.
Follow up with the employee or manager regarding missing or incomplete information.
Confirm that required documents are submitted by the established deadline.
Send completed paperwork to the Controller for payroll setup.
Maintain a checklist showing the status of each new hire.
Handle all employee information confidentially.
Corrective-Action Follow-Up
Track corrective-action documents that require completion, signatures, or follow-up.
Follow up with District Managers or store managers regarding outstanding documentation.
Confirm that completed documents are returned and properly filed.
Notify leader of missed deadlines or unresolved corrective-action paperwork.
The assistant will provide administrative follow-up only. Corrective-action decisions and employee performance conversations will remain with the executive, the District Managers, and appropriate company leadership.
Payroll, Reporting, and Receipt Administration
Payroll Sheets
Create new payroll sheets on a biweekly basis.
Confirm that the correct employees, stores, job titles, and payroll periods are included.
Distribute the sheets to the appropriate managers.
Track completion and follow up on missing information.
Maintain organized records of each payroll period.
Monthly Account Receipts
Collect and scan account receipts and billing documents.
Convert and organize documents in PDF format.
Send the completed monthly documentation to the Controller.

Monthly Goal Calendars
Create monthly goal calendars for each store.
Include approved monthly, weekly, and daily sales goals.
Include important promotions, events, meetings, and deadlines when appropriate.
Verify all figures and dates before distribution.
Send completed calendars to the stores before the start of the new month.
Monthly Store and Associate Statistics
Compile approved store and associate performance results.
Create a clear monthly publication recognizing achievements and communicating results.

Monthly Department Sales Report
Compile monthly sales by department and store.
Format the results consistently for leadership review.
