Administrative Assistant

Job Summary:
The primary role of the Administrative Assistant is to provide administrative support to the pastor and other ministry leaders, oversee all activities of the church office, and to provide organization and coordination of the business aspects of the church. In addition, the Administrative Assistant is to provide a welcoming, positive and confidential environment for all visitors during office hours. This position handles many aspects of behind-the-scenes communication, administration, and logistical duties to support the church.
Relationships:
This position reports directly to the pastor and works closely with other staff, congregation members, and chairperson of the staff parish relations committee; represents the church to the public and presents a positive image.
Skill set:
Required: Computer proficiency with Microsoft office products and other programs including google database, etc. Personable with above average receptionist abilities and the ability to communicate clearly with others. Excellent organizational skills. Preferred: Ability to update social media and web platforms.
Work Schedule:
Monday-Thursday, 10 am - 2pm (dependent on workload); Check and direct or respond to voicemail messages once per day Monday - Friday; Sunday morning worship service preferred; 16-18 hours per week. Prefer flexibility to occasionally work as needed at additional times.
Primary Job Duties:
* Coordinates with the pastor on his/her administrative needs, and the
scheduling of events such as weddings, funerals, baptisms, etc.
* Support pastor in communications with the church conference when needed,
such as submitting reports.
* Provide information in a timely manner to pastor regarding congregational
needs.
* Assist pastor and leadership council members as needed for filling
documents, maintaining compliance, and email meeting reminders.
* Serve as receptionist and create a welcoming environment when
answering phones, receiving guests, scheduling meetings and events,
taking messages and directing/responding to voicemails and emails.
* Coordinate and maintain church Google and hard copy calendar and notify
others, such as trustees(s), custodian(s), etc. at least once a week prior to an
event via email as needed regarding building usage.
* Strategically communicate key events and information to the church by
producing weekly bulletins per pastor’s direction and distribute by Thursday,
primarily electronically to members/attendees and print hard copies for use in
the sanctuary and for mailing to members/attendees via the USPS on a
limited basis as needed.
* Produce monthly newsletters per pastor’s direction, requesting article
information as needed and creating article information as needed, and
distribute one week prior to the first day of the month, primarily electronically
to members/attendees and print hard copies to use in the use in the
sanctuary and mailing to members/attendees via USPS on a limited basis as
needed.
* Monitor Seminary Facebook comments and relay prayer requests, etc.
to pastor.
* Help in maintaining social media by creating new posts at least weekly.
* Assist treasurer, custodian, and ministry leaders concerning administrative
needs of their respective responsibilities.
* Maintain organized church business files that are accessible by the pastor
and by church leadership.
* Maintain and update attendance records and provide weekly reports to pastor
for follow-ups.
* Maintain and update current data in a database on members/attendees such
as address, phone number, birthdate, anniversary, etc.
* Pick up mail during office hours Monday-Thursday at post office and distribute
It appropriately.
* Order necessary paperwork and office supplies as needed.
* Maintain a healthy and growing Christian life; periodically participate in church
services/activities to form and maintain positive relationships with
pastor/members/attendees.
