Office Administrator
Botanics Wholesale is seeking a friendly, organized, and dependable Office Administrator to join our team at our Homestead, FL location. As the first point of contact for customers, vendors, and visitors, the Office Administrator will play an important role in creating a welcoming and professional experience. This position will handle incoming phone calls and emails, greet visitors, assist customers with general inquiries, and provide administrative support to the sales and office teams. Day-to-day responsibilities may include answering and directing phone calls, responding to customer inquiries, preparing and organizing paperwork, entering and maintaining customer information, assisting with estimates and invoices, coordinating with the sales team, and helping with general office organization. The ideal candidate is personable, professional, detail-oriented, and comfortable working in a busy office environment. An interest in plants and the South Florida landscape industry is a plus, but extensive horticultural experience is not required.
Qualifications:
- Friendly, professional, and welcoming personality with excellent customer service skills.
- Strong verbal and written communication skills.
- Bilingual in Spanish.
- Ability to answer phones professionally, take accurate messages, and direct calls appropriately.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize responsibilities, and follow through on tasks.
- Comfortable communicating with customers, vendors, and coworkers in person, by phone, and by email.
- Basic computer skills and proficiency with email and standard office software.
- Experience with QuickBooks or other accounting/office software is a plus.
- Previous receptionist, administrative, customer service, or office experience preferred.
- Interest in plants, horticulture, landscaping, or the South Florida nursery industry is a plus.
- High school diploma or equivalent required.
- Ability to work on-site in Homestead, FL.
Key Responsibilities
- Greet and assist customers, vendors, and visitors.
- Answer, screen, and direct incoming phone calls.
- Respond to general customer inquiries by phone and email.
- Provide administrative and organizational support to the sales and office teams.
- Enter and maintain customer and order information.
- Assist with preparing estimates, invoices, and other office documents.
- Help complete team timesheets and process payroll.
- Maintain an organized and professional reception and office area.
- Assist with general office tasks and other duties as needed.
