Role Purpose
The Operations Specialist is responsible for keeping The Cavernʼs physical operations organized, accurate, and moving forward. This person ensures that products, fulfillment supplies, orders, and operational information are in the right place at the right time.


This is a hands-on role for someone who is logistically minded, learns quickly, communicates clearly, and can take ownership of work without needing constant direction. The position will initially operate as an individual contributor, personally completing much of the day-to-day work. As The Cavern grows, this role has the opportunity to develop into a leadership position responsible for building and managing an operations team.


Core Responsibilities
Inventory and Warehouse Operations

  • Maintain accurate inventory counts for finished products, components, packaging, and fulfillment supplies. 
  • Organize warehouse storage so products and supplies are easy to locate, count, and replenish. 
  • Receive, inspect, document, and properly store incoming shipments. 
  • Identify inventory shortages, discrepancies, damaged products, and operational risks before they become larger problems. 
  • Help prepare, pick, pack, and fulfill customer, wholesale, convention, and partner orders as needed. 
  • Maintain a clean, safe, and efficient warehouse environment. 

Supply Chain and Partner Communication

  • Communicate with manufacturers, suppliers, freight providers, fulfillment partners, retailers, and other business partners. 
  • Track production schedules, purchase orders, shipments, delivery timelines, and outstanding operational needs. 
  • Follow up consistently to ensure commitments, deadlines, and quality expectations are met. 
  • Maintain clear records of conversations, decisions, order details, and next steps.
  • Escalate delays, discrepancies, or quality concerns with proposed solutions.

Customer and Order Support 

  • Investigate and resolve fulfillment issues, missing shipments, damaged products, inventory discrepancies, and other operational customer concerns. 
  • Communicate with customers professionally, clearly, and empathetically. 
  • Coordinate replacement products, corrections, and follow-up actions when necessary. 
  • Look for recurring issues and recommend improvements that prevent future problems. 

Systems and Process Improvement 

  • Learn and maintain The Cavernʼs inventory, order management, shipping, and operational systems. 
  • Create and improve procedures, checklists, documentation, and organizational systems. 
  • Identify bottlenecks and recommend practical solutions that improve accuracy, speed, and accountability. 
  • Help build repeatable processes that can eventually be delegated to additional team members. 
  • Track key operational priorities and ensure important work does not get overlooked. 
  • Leverage modern technologies to make and maintain effecient processes including the leveraging of AI tools

  • A quick learner who can become comfortable with unfamiliar systems and processes. 
  • Proactive, dependable, and capable of working independently. 
  • Comfortable switching between physical warehouse work, computer-based administrative work, and professional communication. 
  • Able to prioritize multiple responsibilities in a fast-moving small-business environment. 
  • A clear written and verbal communicator. 
  • Willing to identify problems, take ownership, and follow through until they are resolved.
  • Interested in growing alongside the company and eventually leading other operations team members. 

Measures of Success 

Success in this role means: 

  • Inventory records are dependable and warehouse inventory is organized. 
  • Products and fulfillment supplies are available when needed. 
  • Orders and shipments are completed accurately and on time. 
  • Suppliers, factories, partners, and customers receive clear and timely communication. 
  • Operational problems are identified early and resolved thoroughly. 
  • Processes become more documented, repeatable, and scalable. 
  • The operations function becomes less dependent on the ownerʼs daily involvement. 

Growth Path 

The Operations Specialist will begin as a hands-on individual contributor responsible for both coordinating and completing operational work. As order volume, inventory, and operational complexity increase, this person may help hire, train, and manage warehouse and fulfillment employees. 

The long-term opportunity is to grow from personally executing daily operations into leading a dependable operations team and helping build the systems necessary to support The Cavernʼs continued growth. 

It is important for a potential operations leader to have hands-on experience to fully understand the operation needs of The Cavern in order to lead a team effectively.
