Position Summary
The Document Preparation Assistant plays a critical role in the document digitization process by preparing paper records for high-speed scanning. This position requires excellent attention to detail, organizational skills, and the ability to maintain the integrity and confidentiality of client records.
This is an excellent opportunity for students interested in gaining hands-on experience in business operations, records management, healthcare administration, project management, information management, or office administration.
Primary Responsibilities
Prepare paper documents for high-speed scanning.
Remove staples, paper clips, binder clips, sticky notes, and bindings.
Repair torn or damaged documents when necessary.
Organize and sort records according to project specifications.
Ensure documents remain in their original order throughout the preparation process.
Separate oversized, fragile, or specialty documents for alternate scanning methods.
Reassemble files when required after scanning.
Maintain document quality standards and secure chain-of-custody procedures.
Assist with boxing, labeling, and inventory tracking.
Maintain a clean, organized, and secure work environment.
Perform other project-related duties as assigned.
Qualifications
Currently enrolled in a college or university preferred.
High school diploma or equivalent required.
Strong attention to detail and organizational skills.
Ability to follow written and verbal instructions.
Comfortable performing repetitive tasks while maintaining a high level of accuracy.
Dependable with excellent attendance and punctuality.
Ability to work independently and as part of a team.
Ability to lift up to 30 pounds.
Ability to stand, bend, and sit for extended periods during the workday.
Preferred Skills
Experience working with confidential information.
Basic computer skills.
Strong work ethic and positive attitude.
Ability to meet project deadlines in a production environment.
