Client Coordinator, Legal Assistant, Receptionist

Andrea L. Jakob, PA is a boutique estate planning, probate, and trust administration law firm serving families throughout Florida. We are looking for a warm, organized, and dependable Client Experience Coordinator / Legal Assistant / Front Desk to serve as the first point of contact for our clients and professional partners.

This role is ideal for someone who is friendly, detail-oriented, calm under pressure, and genuinely enjoys helping people feel cared for.

About the Role

Our Client Experience Coordinator/ Legal Assistant / Front Desk is often the first voice a client hears and the first person they meet. Many of our clients reach out to us during emotional or uncertain times, so we need someone who can make every person feel welcomed, heard, and reassured while keeping the office running smoothly.

In this role, you'll manage incoming calls, schedule appointments, greet clients, support the legal team, and help ensure every client experience is organized, professional, and personal.

This is more than a front desk position.

We're looking for someone who notices details, takes ownership, follows through, and enjoys being the person who keeps everything on track.

We provide detailed written procedures, checklists, and step-by-step video tutorials. If you're naturally curious, enjoy learning independently, and take pride in solving problems, you'll thrive in this role.

Responsibilities

  • Answering incoming calls in a warm, professional, and helpful manner
  • Greeting clients and visitors
  • Scheduling consultations, meetings, and follow-up appointments
  • Managing calendars and confirming appointments
  • Gathering basic intake information from prospective clients
  • Directing calls and messages to the appropriate team member
  • Monitoring and responding to voicemails, emails, and website inquiries
  • Preparing conference rooms for client meetings
  • Scanning, saving, and organizing documents
  • Assisting with client follow-up and reminders
  • Maintaining a tidy and welcoming reception area
  • Providing administrative support to the legal team while ensuring an exceptional client experience throughout every stage of representation
  • Maintaining accurate client records and communications while ensuring all follow-up tasks are completed promptly

  • Takes initiative and exercises good judgment when working independently

Requirements

  • Prior experience in a receptionist, administrative, client service, or law office role is preferred
  • Excellent phone etiquette
  • Strong organizational skills
  • Ability to maintain confidentiality
  • Comfortable learning and using new software systems
  • Bilingual English/Spanish is a plus, but not required
