Accounting and Operations Manager

Accounting and Operations Manager

A growing construction company is seeking an experienced Accounting and Operations Manager to oversee day-to-day accounting, financial reporting, construction project accounting, and administrative operations. This hands-on position is responsible for managing the complete accounting process independently while working closely with ownership, project managers, employees, vendors, and subcontractors.

The ideal candidate is organized, dependable, and comfortable moving between detailed accounting work, project documentation, and general office responsibilities.

Responsibilities

  • Manage the full accounting cycle in QuickBooks, including accounts payable, accounts receivable, payroll, journal entries, bank reconciliations, and general ledger maintenance.
  • Complete monthly and year-end closing procedures and prepare financial statements, cash-flow reports, aging reports, and other information for ownership.
  • Maintain construction job-cost records and monitor project revenue, expenses, change orders, subcontractor payments, and profitability.
  • Prepare customer invoices, progress billings, and supporting project documentation; monitor receivables and follow up on overdue balances.
  • Review vendor and subcontractor invoices for accuracy, approval, job assignment, cost coding, and required supporting documentation.
  • Process payroll and maintain employee, payroll-tax, and year-end reporting records.
  • Prepare or coordinate W-2s, 1099s, sales-and-use-tax filings, and multistate withholding requirements.
  • Maintain S-corporation accounting records and provide information required by outside tax professionals.
  • Collect and maintain lien waivers, W-9 forms, certificates of insurance, contracts, and other subcontractor documentation.
  • Communicate with customers, vendors, subcontractors, accountants, insurers, and government agencies to resolve accounting or documentation issues.
  • Maintain company records and assist ownership with budgeting, financial analysis, internal controls, process improvements, special projects, and general office administration.

Qualifications

  • Experience managing full-cycle accounting.
  • Strong knowledge of accounts payable, accounts receivable, payroll, reconciliations, and financial reporting.
  • Construction accounting, project accounting, or job-costing experience strongly preferred.
  • Proficiency with QuickBooks and Microsoft Excel.
  • Strong organization, attention to detail, communication skills, and ability to meet deadlines with limited supervision.
  • Ability to handle confidential financial and employee information professionally.
  • Bachelor’s degree in accounting, finance, business administration, or equivalent professional experience preferred but not required.
