Job Purpose

Director of Operations initiates, coordinates and facilitates a wide variety of complex operations for the Dean and for the School of Natural and Environmental Sciences. Coordinates and supports business operations for more than 85 faculty, 4 departments, five physical locations, and 20+ administrative staff and laboratory technicians; serving approx. 1600 majors per year. Ensures effective and efficient communication within the School, to the campus, and to students and donors.

Minimum Requirements

Bachelor’s degree with at least four years of high level administrative and/or communications experience with experience writing for diverse audiences. Experience in a higher education and Sciences setting is strongly preferred. Experience in implementation of conferences, workshops, and special events is helpful. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities

Professional demeanor, strong interpersonal skills, and the ability to exercise independent judgment. Proficiency in MS Office (Word, Excel Power Point, Access, Outlook), web page authoring /web site maintenance, and social media tools. Familiarity with desktop publishing software. Exceptional oral and written communication skills. Strong organizational and project management skills. Must be able to review, analyze, and assess a variety of situations, policies, procedures, regulations, and laws and provide appropriate expert level advice to faculty, staff, and students. Attention to detail, and the ability to maintain effective working relationships with faculty, staff, students, and the general public in a complex working environment. Ability to lead/coordinate multiple school/campus-wide projects or teams is essential. Must be able to work ethically with highly confidential information. Must have, or be open to obtaining, familiarity with FERPA guidelines and CofC Banner.

Additional Comments Regarding Position

May be required to attend weekend or after hours functions for the School.

Directs complex administrative functions of the Dean’s office. Coordinates flow of communications and information within the Dean’s office. Prioritizes issues and information and disseminates to responsible parties. Alerts Dean as appropriate. Ensures accurate and secure documentation and records for the School and the Dean. Assists Dean in confidential and sensitive projects. Manages SNES and RITA buildings access control.

Activity

Prepares and tracks SNES new offer letters, salary letters, leadership letters, sabbatical letters, and faculty appointment letters. Uploads documents to BDMS. Follows up on work processes including IT forms, organizational charts for supervisors, and FOAP forms. Reviews and edits faculty reports (e.g. names, departments, ranks, titles, salaries) for accuracy. Monitors teaching effort reports for returning and new adjunct, affiliate, retired, and zero-pay contract faculty, as well as faculty receiving additional pay. Submits Banner Access Forms for Academic Admins. Coordinates credentialing for SNES faculty.

Activity

Develops, designs, and disseminates School web pages, social media, multi-media presentations, and group email correspondence. Plans, organizes and coordinates conferences, receptions and other special events. Collects, promotes, and publicizes department news and events utilizing various media resources. Coordinates materials for promotional campaigns, invitations, seminar announcements, press releases, etc. Composes School correspondence and ensures requests for information are completed accurately and promptly.

Works closely with School’s Senior Development Officer and other Development personnel to develop opportunities for potential donors and assists with donor events and stewardship. Plans, organizes and coordinates conferences, receptions and other special events.

Acts as Dean’s liaison to School staff, administrative offices, academic departments/ schools, committees, students, corporate and agency executives, alumni and donors. Assists the Deans and Chairs in planning, coordinating, implementing, and assessing School procedures and processes. Interprets rules and regulations, advises staff and ensures compliance with federal, State, and institutional regulations. Ensures changes in policy or procedure are communicated and understood.

Informs Budget Director of issues relevant to School finances. Reviews hiring actions, such as add pays, temporary appointments, adjunct hires, etc. for compliance with rules and agreements and completion of necessary paperwork. Approves actions as directed by the Dean.

Serves as scholarship coordinator and liaison to student recipients, scholarship selection committees, and personnel in Institutional Advancement and the Office of Financial Aid. Reviews applicants and provides recommendations to the Dean as appropriate. Inputs awards into the Cougar Scholarship Award System. Develops and manages complex and diverse databases and spreadsheets to store and track scholarship data.
