Assistant Project Manager

Position Overview: The Assistant Project Manager (APM) is an important role in the company as he/she ensures, along with the project managers, that projects are run effectively and efficiently. An APM may support a single Project Manager or up to 3-5 Project Managers, depending on project size and complexity. The APM coordinates and manages the administrative and operational tasks of assigned projects.

Key Responsibilities, including but not limited to:

Project Planning & Execution

  • Support the Project Manager from project inception, beginning with scope and budget development through project close-out, ensuring delivery is on time, within scope, and within budget.
  • Assist in the preparation of budgets, proposals, and change orders based on the identified scope of work.
  • Coordinate and track expenses against projects and collaborate with Finance to ensure all financial data is accurate.
  • Ensure the Project Manager reviews and approves all financial aspects of the project.

Field & Site Responsibilities

  • Perform site surveys to assess project conditions and gather necessary data.
  • Attend bid walks with contractors to ensure accurate scope, understanding and pricing.
  • Assist in reviewing submittals to ensure compliance with project requirements, specifications, and industry standards.

Project Coordination & Documentation

  • Assist in the creation of project drawings using CADD or other drafting tools.
  • Create and maintain project schedules, ensuring the Project Manager is fully aware of all aspects.
  • Provide project updates to internal and client stakeholders as needed.
  • Support the Project Manager in contract creation and management with suppliers and vendors to ensure timely deliveries.
  • Prepare Close-Out documents and reports, ensuring all project documentation is complete and properly archived.
  • Ensure all subcontractors comply with client standards, including insurance requirements and security protocols.
  • Perform other miscellaneous tasks as required in supporting project execution.

Required Qualifications

  • Bachelor's degree (BA/BS/BEng/BArch) from College or University in a technical area of study, mechanical, electrical or relevant engineering degree preferred.
  • Excellent communication skills.
  • Proficient at managing time and resources.
  • Detail-oriented.
  • Critical thinking and problem-solving skills.
  • Interest in mechanical or electrical systems.
  • Exceptional working knowledge with Microsoft Excel and Word.
  • Working knowledge of Adobe Acrobat or Blue Beam
  • Ability to travel if a project requires.

Preferred/Desirable Skills

  • Good working knowledge of Microsoft Office suite including Microsoft Project
  • PMP Certification
  • Experience in using project management and financial tools such as Sage, Procore, or others.
  • Knowledge of CADD
  • Ability to research and source contractors and equipment.
  • Ability to draw up detailed project plans and schedules.
