Job Description: Project Specialist - Luxury Packaging Manufacturing

Position Overview

The Project Specialist plays a pivotal role in leading luxury packaging projects with a strong focus on customer interaction, project planning, and cross-functional coordination. This role is ideal for a communicative, detail-oriented professional who thrives in dynamic, client-facing environments and is passionate about delivering exceptional service and project outcomes. 

This position works in close collaboration with the Costing Specialist (Estimator) to ensure seamless execution from client brief through final delivery, including shared responsibilities in quoting, data management, and production alignment.

Key Responsibilities

Client Communication & Relationship Building

  • Serve as primary point of contact for clients or global Key Account Managers throughout the project lifecycle.
  • Deliver timely updates, manage changes, and respond to client feedback or concerns. 
  • Foster long-term relationships through trust, professionalism, and responsiveness. (Cultivate a Spirit of Humility)

Project Ownership & Coordination

  • Lead projects from concept to completion ensuring timelines, client expectations, and internal goals are aligned. (Choose Excellence)
  • Develop and maintain detailed projects plans and manage cross-functional collaboration with design, production, and sales.
  • Coordinate documents and lead internal project reviews and status meetings (project kick-offs, REX, etc)

 Quoting

  • Coordinate the Costing Manager(s) and sourcing teams to insure accurate and consistent material estimates and project quotes across regions.
  • Analyze and synthesize estimates from multiple regions or product-types to present for final margin
  • Present cost breakdowns and proposals to clients, supporting negotiations and revisions.

Data & Documentation Management

  • Input and organize accurate files in ERP and project systems to support quoting, order tracking, and reporting.
  • Help manage pricing records, project documentation, and status logs to ensure clear and consistent information flow.
  • Ensure that client-approved specs, timelines, and costs are well-documented and accessible to internal teams.

 Quality & Issue Resolution

  • Collaborate with QC teams to identify process-related quality & uphold packaging standards.
  • Assist in the resolution of internal and supplier-related challenges.
  • Manage communication around production issues and resolutions, ensuring minimal client instruction.
  • Facilitate post-project evaluations for continuous improvement.

 Continuous Improvement & Innovation

  • Share client insights to enhance processes and project experiences.
  • Participate in global collaboration to evolve best practices. (Share Savoir-Faire).

Qualifications

  • Bachelor’s degree in Business, Project Management, Packaging, or a related field.
  • Experience in client-facing project management, ideally in luxury goods or packaging.
  • Exceptional communication and interpersonal skills.
  • Strong organizational, problem-solving, and multitasking capabilities.
  • Familiarity with project management systems (ERP, Excel, Etc.).
