Base Salary: $70,000 - $75,000
Target Compensation: $120,000 - $150,000+ annually through performance bonuses, promotions, and leadership advancement as responsibilities and impact grow.

Position Summary
Ultimate is seeking a highly competitive, organized, and driven Executive Operations & Talent Coordinator to work directly alongside company ownership and executive leadership.
This is an ideal opportunity for a former athlete or ambitious young professional who wants to accelerate their career in leadership, operations, recruiting, and business management. You will gain firsthand exposure to how a fast-growing company operates while helping drive hiring, accountability, execution, and growth initiatives across the organization.
You will work hand-in-hand with ownership on a daily basis, gaining access to leadership meetings, strategic projects, operational planning, and company-wide initiatives. This role is designed for someone who wants to learn how to build and scale a business while developing into a future leader within Ultimate.
This is not an assistant role. It is a leadership development role.
What You'll Do
Talent Acquisition & Hiring
- Source, recruit, and screen candidates for internal positions
- Coordinate interviews and manage hiring processes
- Conduct initial candidate screenings and reference checks
- Manage recruiting pipelines and applicant tracking systems
- Support onboarding and new hire integration
- Assist leadership in building a high-performance team
Executive Operations
- Work directly with ownership and executive leadership on key business initiatives
- Prepare agendas and materials for leadership meetings
- Collect KPI reports and maintain executive scorecards
- Document meeting notes, action items, and key decisions
- Track follow-up items and drive accountability across leadership teams
- Maintain executive dashboards and company reporting
Project Management & Execution
- Coordinate company-wide projects and strategic initiatives
- Maintain project plans, timelines, owners, and deadlines
- Follow up with department leaders on commitments and deliverables
- Create weekly project status updates
- Identify risks, roadblocks, and opportunities for improvement
Onboarding & Training
- Coordinate new employee onboarding programs
- Manage training schedules and development initiatives
- Track onboarding and training completion
- Assist in creating SOPs, training materials, and operational playbooks
- Help turn leadership ideas into repeatable systems
Systems & Process Improvement
- Maintain Asana projects, templates, and workflows
- Support AI and automation initiatives
- Organize operational resources and company documentation
- Identify opportunities to improve efficiency and execution
- Help build scalable systems that support future growth

Preferred Background
- Bachelor's Degree in Finance, Business, Human Resources, Management, Project Management, Organizational Leadership, or a related field
- 1-5 years of professional experience
- Experience in recruiting, staffing, operations, project coordination, HR, or business administration is preferred
- Strong Microsoft Office and technology skills
- Familiarity with project management tools such as Asana is a plus

- Ownership spends more time focused on growth, strategy, and leadership and less time managing day-to-day administrative tasks
