Essential Functions
The Graduate Student Success Coordinator supports the Office of Graduate Studies by providing proactive outreach, onboarding, enrollment navigation, case management, student-success programming, and coordinated interventions for newly admitted and continuing graduate students. The position serves as a central point of contact that helps students resolve academic, financial, personal, and administrative barriers; documents referrals and outcomes; supports early-alert and retention initiatives; and coordinates orientation, workshops, webinars, and resource connections. Working with Enrollment Counselors, academic programs, Financial Aid, Student Accounts, the Registrar's Office, academic advisors, and other campus partners, the position strengthens graduate student engagement, persistence, and progress toward degree completion, with particular attention to online and adult learners.
Graduate Student Engagement, Outreach, and Onboarding
1. Build and maintain relationships with newly admitted and continuing graduate students to identify goals, challenges, and barriers affecting enrollment, engagement, persistence, and academic success.
2. Plan and conduct proactive outreach campaigns that support onboarding, enrollment, registration, retention, and continued academic engagement.
3. Coordinate graduate student orientation, onboarding activities, workshops, webinars, and educational programming related to student success, professional development, wellness, and University resources.
4. Provide individualized support, connect students with appropriate University services, and follow up on referrals or unresolved barriers within established procedures.
Enrollment Navigation and Cross-Office Coordination
5. Assist applicants and newly admitted students with application-related questions and enrollment processes in collaboration with Enrollment Counselors and academic program staff.
6. Guide students in using the Slate Application Portal, Slate Student Success Portal, Stellic, and other assigned University systems and student-success technologies.
7. Coordinate appointment scheduling, referrals, and connections to University resources and campus partners.
8. Support students through matriculation, registration, and enrollment by coordinating with Financial Aid, Student Accounts, the Registrar's Office, academic advisors, academic programs, and other campus units.
9. Monitor assigned student progress and engagement indicators and conduct timely outreach to encourage enrollment, registration, persistence, and completion of required actions.
Case Management, Student Success, and Retention
10. Support implementation of graduate student-success initiatives designed to improve retention, persistence, and degree completion.
11. Document student interactions, referrals, interventions, follow-up actions, and outcomes accurately and promptly in the University's CRM or other designated systems.
12. Identify recurring trends, barriers, and service gaps affecting graduate student success and communicate findings and improvement opportunities to Graduate Studies leadership.
13. Support early-alert and intervention processes for students experiencing academic or administrative challenges, coordinate follow-up, and escalate matters outside assigned authority.
Operations and Continuous Improvement
14. Maintain accurate, timely, and confidential records of student communications, services, referrals, and support activities.
15. Maintain working knowledge of applicable University policies, procedures, systems, student-success technologies, and referral resources.
16. Evaluate assigned workflows, identify recurring process issues, and recommend operational improvements that enhance the graduate student experience.
17. Support special projects and strategic initiatives related to graduate enrollment, retention, student engagement, and student success.
18. Prepare recurring activity, outreach, case-management, and student-support reports as assigned to monitor service delivery, follow-up, and outcomes.

Required Qualifications
1. Bachelor's degree from an accredited college or university.
2. Two (2) years of professional experience in higher education, student services, advising, enrollment management, retention, case management, or a related field.
3. Experience using a database, customer relationship management system, student information system, case-management system, or comparable technology to document interactions, referrals, interventions, outcomes, or student progress.
4. Experience coordinating student outreach, onboarding, enrollment navigation, retention, case follow-up, student-success programming, or related services.
5. Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
Preferred Qualifications
1. Master's degree from an accredited college or university.
2. Experience supporting graduate students, online learners, adult learners, or other student populations requiring proactive and individualized support.
3. Experience in student success, retention, advising, case management, enrollment management, early-alert intervention, or student support services.
4. Experience using Slate, Stellic, a student-success platform, CRM, early-alert system, or comparable technology.
5. Experience coordinating orientation, workshops, webinars, professional-development programming, wellness programming, or student-resource education.
6. Experience preparing student-support, outreach, case-management, engagement, or retention reports and identifying trends or service barriers.
7. Experience collaborating across academic programs and central student-service offices to coordinate referrals, resolve barriers, or improve student-facing processes.
8. Strong communication, organization, problem-solving, relationship-building, and student-service skills.

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
