We are seeking a highly organized and detail-oriented Proposal Management Intern to help maintain and improve the systems we use to identify, develop, submit, and track proposals.
Position Summary
The Proposal Management Intern will support the administration of Morant McLeod’s proposal development process. The intern’s primary responsibility will be maintaining the tools, records, templates, calendars, and supporting materials that allow the firm to respond efficiently and accurately to requests for proposals, requests for qualifications, and other business development opportunities.
This position is well suited for a student interested in consulting, project management, business development, professional writing, public-sector contracting, or business operations. The intern will gain practical experience managing proposal workflows from opportunity identification through submission and post-submission tracking.
Primary Responsibilities
Proposal System Management
- Maintain the firm’s proposal pipeline and opportunity-tracking system.
- Enter and update proposal opportunities, deadlines, submission requirements, contact information, and status changes.
- Maintain a centralized proposal calendar, including internal review dates and final submission deadlines.
- Organize proposal documents using consistent file names, folder structures, version controls, and archival practices.
- Track active, submitted, awarded, declined, and closed opportunities.
- Help ensure that proposal records are complete, current, and easy for team members to access.
Proposal Content Library
- Maintain the firm’s library of proposal templates, resumes, staff biographies, project descriptions, references, certifications, and standard company information.
- Update reusable proposal language based on completed submissions and approved firm materials.
- Help maintain accurate descriptions of the firm’s services, qualifications, clients, and past performance.
- Identify outdated, incomplete, or duplicative materials and coordinate updates with appropriate team members.
- Create organized repositories of commonly requested proposal attachments and supporting documents.
Proposal Coordination
- Review solicitations and summarize key requirements, deadlines, evaluation criteria, and submission instructions.
- Help create proposal checklists, compliance matrices, work plans, and internal schedules.
- Coordinate requests for information from consultants, project leaders, and administrative staff.
- Track assignments and follow up on outstanding proposal components.
- Assist with document assembly, formatting, proofreading, quality control, and final submission preparation.
- Verify that proposals include all required forms, attachments, signatures, and supporting materials.
- Support the timely submission of proposals through email, procurement portals, and other submission platforms.
Writing and Editing Support
- Assist with drafting and editing proposal sections using approved source materials.
- Proofread documents for grammar, clarity, consistency, formatting, and compliance with solicitation requirements.
- Adapt existing content to address the needs and priorities of a specific prospective client.
- Help prepare cover letters, staff qualifications, project summaries, and other proposal materials.
- Maintain consistent terminology, formatting, and presentation across proposal documents.
Reporting and Process Improvement
- Maintain basic proposal metrics, including submissions, outcomes, win rates, client sectors, and opportunity sources.
- Help document proposal procedures and internal standards.
- Identify opportunities to simplify, standardize, or automate recurring proposal tasks.
- Participate in periodic reviews of the proposal pipeline and upcoming deadlines.
- Support other business development and administrative projects as assigned.
Preferred Qualifications
- Currently pursuing an undergraduate or graduate degree in business, communications, English, public administration, marketing, project management, political science, or a related field.
- Strong organizational skills and close attention to detail.
- Strong written communication, proofreading, and editing abilities.
- Ability to manage multiple assignments and deadlines.
- Comfort working with structured processes, checklists, calendars, and document-management systems.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and cloud-based file-management tools.
- Ability to handle confidential or sensitive business information professionally.
- Willingness to ask questions, accept feedback, and learn new systems.
- Dependable, responsive, and able to work independently after receiving direction.
Helpful but Not Required
- Experience with proposals, grants, procurement, consulting, project management, or business development.
- Familiarity with requests for proposals, requests for qualifications, or government contracting.
- Experience with Microsoft SharePoint, Teams, Google Workspace, Adobe Acrobat, Canva, CRM systems, or project-management software.
- Experience formatting professional reports, presentations, or business documents.
- Interest in public-sector, nonprofit, or professional-services consulting.
