Essential Duties and Responsibilities
The Welcome Desk Associate plays a crucial role in providing a positive and welcoming experience for visitors and guests. Their primary responsibility is to manage the front reception area, ensuring that all guests and inquiries are handled efficiently and professionally. Compensation ranges from $14.00-$15.00 per hour.
The following is an outline of the daily tasks of the Welcome Desk Associate:
Greeting Visitors –
- Greet all guests in a friendly, professional manner.
- Provide assistance and directions as needed.
Communication –
- Answer phone calls promptly and direct to the correct department.
- Respond to inquiries in a timely, professional manner.
Visitor Check-In –
- Register and sign in visitors; issue name tags.
- Notify staff of visitor arrivals or appointments.
- Prepare daily visit bags with t-shirts and folders.
Administrative Support –
- Perform basic clerical tasks (photocopying, filing, data entry).
- Assist with campus visit scheduling.
Mail & Facilities –
- Sort and distribute incoming mail and packages.
- Follow opening/closing procedures and keep the reception area tidy
Supplies & Inventory –
- Monitor stock of brochures, folders, name tags, t-shirts, and replenish as needed.
Visitor Experience –
- Offer water or refreshments when available.
- Ensure guests know where restrooms are located.
- Direct guests to waiting areas if they arrive early.
Requirements:
Minimum Qualifications:
- Ability to work in a fast-paced environment, and to learn on the go.
- Ability to utilize office equipment (phones, computers, and software applications) proficiently.
- Strong communication skills, work ethic, and professionalism.
Preferred Qualifications:
- Some customer service, office and/or front desk experience preferred.
Anticipated Schedule:
- Monday through Friday, any time between 8:30am and 5:00pm
