Administrative Coordinator

GEORGIA COALITION AGAINST DOMESTIC VIOLENCE

Position: Administrative Assistant - Justice for Incarcerated Survivors (JFIS) 

Status: Full-time, Exempt 

Location: Hybrid (in-person/ remote)

The JFIS Program provides post-conviction legal services to individuals with a history of surviving DV who are incarcerated in Georgia’s prisons. Specifically, JFIS primarily serves women who have been victimized and those for whom victimization led to incarceration. JFIS also provides training, education, and advocacy (including policy and legislative advocacy) surrounding issues affecting criminalized survivors. 

Position Overview

GCADV is seeking a highly organized and detail-oriented Administrative Assistant to support the JFIS program. This role is responsible for managing program intake and case records, coordinating communication with clients and partners, and providing critical administrative support to legal staff. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and is committed to supporting survivors.

This position is hybrid, with regular on-site work from GCADV’s office in Atlanta and travel within the state of Georgia for meetings, continuing education, and programmatic tasks. Ideal candidates will be based in (or willing to relocate to) the Atlanta Metro area, with the ability to travel throughout Georgia, as needed. 

Key Responsibilities

  • Program Intake & Communication
    • Manage the JFIS application and screening process from intake through follow-up.
    • Review, process, and distribute incoming and outgoing mail, including digitizing physical files and communicating application status updates to clients.
    • Manage intake for new clients, including, but not limited to, creating FileVine and SharePoint matters/folders, initial record requests and retrieval, collecting information about DV history, and identifying witnesses or areas for investigation.
  • Data & Case Management
    • Maintain accurate client records in FileVine and GCADV’s internal database.
    • Regularly update case files to reflect new information, correspondence, and case developments.
  • Intern & Volunteer Support
    • Provide guidance and support to interns and volunteers assisting with program activities, data collection, and tracking.
  • Partnership Coordination
    • Coordinate with the Georgia Department of Corrections to schedule prison visits, conduct screening interviews, and arrange client meetings and legal calls.
    • Maintain communication with the Georgia Board of Pardons and Paroles, including preparing and submitting parole packets and tracking case status.
  • Legal & Administrative Support
    • Assist the JFIS Legal Director with administrative and case-related tasks, including research, document retrieval, and drafting and filing legal documents such as pleadings and orders.

Required Qualifications

  • Minimum of 3 years of experience in program coordination, project management, or administrative support.
  • Proficiency in Microsoft Office Suite and ability to quickly learn new systems and software.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.

Preferred Qualifications

  • Experience working in the criminal legal system.
  • Experience working with survivors of trauma or abuse.
