Position Purpose
The Gala & Special Events Chair is responsible for planning, scripting, and executing our flagship high-ticket fundraising events and community celebrations. This includes our high-energy World Dance Tour masterclass, the October 12th Sponsor Dinner featuring a live vocal performance by Charity Lockhart, our high-value silent and live charity auctions, and the final October 17th family-style community celebration.
Supported directly by our marketing and partnership desks, this role focuses 100% on premium hospitality matchmaking, luxury auction procurement, vendor relations, and memorable guest experiences to maximize campaign revenue.
Core Responsibilities
- Dinner & Celebration Run-of-Show Logistics: Script and coordinate the minute-by-minute logistical "Run of Show" for our exclusive October 1 sponsor dinner and the October 17 community celebration. Coordinate cues with live musicians, entertainment, volunteer plating crews, and audio/visual teams.
- High-Value Auction Procurement: Manage strategic B2B outreach and relationship pipelines to secure premium live and silent auction items (local staycations, luxury retail packages, corporate sports boxes, and high-end hospitality vouchers) targeting a $10,000+ benchmark.
- Mobile Bidding Integration: Oversee the digital onboarding and management of all auction assets onto modern, contactless mobile bidding and ticketing applications (such as Givebutter Plus).
- B2B Merchant Sprint Coordination: Drive early outreach tracks to pitch Scottsdale resorts, lock in local restaurant co-ops, and secure signed catering confirmations.
Job Requirements & Core Competencies
- Event Choreography & Hospitality: Proven foundational background or coursework in event management, hospitality projects, corporate event production, or public relations.
- Logistical Matchmaking: Strong capability to coordinate vendors, map out menu architectures, handle talent scheduling, and design technical audio/visual cue layouts.
- Technical Literacy: Comfortable with online spreadsheets, data input, mobile ticketing/bidding platforms, and digital payment systems.
- Dignity-First Ethos: A deep personal commitment to our strict ethical mandate—focusing on absolute respect, guest privacy, and high-dignity community service.
- Work Authorization: Must possess independent US work authorization (no international visa or OPT/CPT tracking required).
Compensation & Commitment
- Project Commitment: Milestone-driven, self-paced workflow running from July through October, averaging approximately 8–10 hours per week (with concentrated hours during peak event weeks in October).
- Guaranteed Base Contract: $2,880.00 Fixed Contract Base paid out in predictable monthly draws based on milestone completion ($18.00/hour equivalent for 160 allocated hours).
