Front Desk Administrative Assistant

Front Desk Office & Administrative Assistant (Spanish-speaking)

Compensation: $20-$24/hour, based on relevant work experience.

Location: Newport Beach, CA – IN OFFICE (not hybrid or remote)

Schedule: Monday-Friday, 8:00/8:30am – 5:00/5:30pm, full-time

*Must be graduated and have full-time/in-office work availability.

Position Summary

We are seeking a professional, organized, and upbeat Front Desk Office & Administrative Assistant to support the daily operations of our law firm. This individual will serve as the face of the office, helping create a welcoming and professional environment for clients, guests, attorneys, and staff while also assisting with administrative and light accounting responsibilities.

Key Responsibilities

Front Desk & Reception

  • Greet clients, guests, and visitors in a professional and welcoming manner
  • Answer and direct incoming phone calls
  • Manage incoming and outgoing mail, deliveries, and packages
  • Maintain a polished and professional front office environment
  • Coordinate visitor check-ins and conference room preparation

Administrative Support

  • Manage conference room
  • Assist attorneys and staff with administrative tasks and office support
  • Help coordinate in-office meetings, lunches, and firm events
  • Maintain office organization, including filing, supplies, storage, and common areas
  • Ensure office snacks, beverages, and supplies remain fully stocked and organized
  • Serve as a resource for locating office materials, supplies, and documents
  • Assist with special projects and operational support as needed

  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong interpersonal skills and ability to maintain positive working relationships with attorneys, staff, vendors, and clients
  • Reliable, proactive, and solution-oriented
  • Comfortable handling confidential information professionally
  • Previous office, reception, administrative, or law firm experience preferred

Physical Requirements / ADA Statement

This position requires the ability to perform routine office and administrative tasks in a professional office environment. Responsibilities may occasionally include:

  • Lifting and carrying office supplies or boxes up to 10 pounds
  • Reaching overhead to store or retrieve items
  • Crouching, bending, or kneeling to access supplies or storage areas
  • Sitting and standing for extended periods of time
