Executive Support Specialist
We are seeking a highly organized and discreet Executive Support Specialist to provide high-level administrative and operational support to senior executives. This role is responsible for managing schedules, coordinating meetings and travel, preparing documents and reports, and ensuring smooth daily operations for executive leadership. The ideal candidate is proactive, detail-oriented, and able to handle confidential information with professionalism.
Key Responsibilities
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Serve as a liaison between executives, staff, clients, and external partners.
- Screen and prioritize emails, calls, and other communications.
- Track deadlines, projects, and action items to ensure timely completion.
- Maintain confidential files, records, and sensitive business information.
- Coordinate special projects and executive initiatives.
- Process invoices, reimbursements, and administrative documentation.
- Support internal communications and leadership updates.
- Improve administrative processes and organizational efficiency where possible.
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred.
- 3–5 years of administrative support or executive assistant experience.
- Strong organizational, multitasking, and time-management abilities.
- High level of professionalism, discretion, and confidentiality.
- Ability to work independently in a fast-paced environment.
Preferred Skills
- Experience supporting senior leadership or C-suite executives.
- Familiarity with travel booking and expense management tools.
- Strong problem-solving and decision-making skills.
