Personal Assistant

JDC Account Services is seeking a highly organized and proactive Personal Assistant to support CEO in day-to-day operations. This role is critical for maintaining seamless scheduling, travel logistics, and administrative efficiency.

Key Responsibilities

  • Manage and coordinate CEO calendar, including scheduling meetings, calls, and appointments across multiple time zones.
  • Handle all travel arrangements when CEO is traveling, including booking flights, hotels, ground transportation, and itineraries while anticipating and resolving any issues that arise.
  • Provide comprehensive on-the-road support during travel, including managing documents, coordinating with external parties, handling last-minute changes, and assisting with personal and professional tasks as needed.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Handle email triage, correspondence, and communication on behalf of CEO.
  • Organize and maintain files, contacts, and administrative records.
  • Assist with expense tracking, reimbursements, and basic financial administration.
  • Perform ad-hoc tasks and special projects as requested to keep operations running smoothly.

Requirements

  • 3+ years of experience as a Personal Assistant or Executive Assistant, preferably supporting a senior leader.
  • Exceptional organizational skills and attention to detail.
  • Strong communication and interpersonal abilities.
  • Proficiency with Google Workspace, Microsoft Office, calendar tools (Outlook/Google Calendar), and travel booking platforms.
  • Ability to work independently, prioritize effectively, and handle confidential information with discretion.
