Job Overview

The Director of Portfolio Management & Operations is responsible for managing and continuously improving the operational infrastructure of United Success Wealth Management. This role combines portfolio management support, trading operations, client service, technology, compliance, workflow development, AI-enabled productivity, and business process improvement. Success is measured not by activity, but by documented deliverables, operational efficiency, and ownership of recurring business processes.

Every assignment should produce a tangible business asset such as an SOP, workflow, checklist, Excel workbook, dashboard, process map, or documented improvement. Title: Director of Portfolio Management & Operations.

Compensation: $80,000–$100,000 base salary (commensurate with experience) plus discretionary performance bonus.

Office Location: 548 Main Street, Chatham, NJ 07928

Required Experience:

  • 3–7+ years in an independent RIA, broker-dealer, family office, or wealth management firm.
  • Active Series 65 (or equivalent if legally transferable).
  • Experience supporting portfolio management, trading, operations, client service, and compliance.
  • Intermediate-to-advanced Excel (including XLOOKUP, INDEX/MATCH, Pivot Tables, SUMIFS), Word, PowerPoint, and Outlook.
  • Experience with wealth management software such as Advyzon, Schwab Advisor Center, CRM systems, Microsoft 365, SharePoint, and OneDrive.
  • Demonstrated effective use of ChatGPT, Claude, or another approved AI assistant to improve documentation, research, Excel workflows, and operational efficiency.

Primary Responsibilities

  • Portfolio management support and trading operations.
  • Client onboarding and servicing.
  • Compliance documentation and annual regulatory processes.
  • Development and maintenance of SOPs, workflows, dashboards, and operational documentation.
  • Ownership of SharePoint document organization and operational knowledge management.
  • Continuous process improvement using technology and AI.

Daily Expectations:

  • End-of-day report summarizing completed tasks, documents produced, files created, questions, roadblocks, improvements identified, and tomorrow's plan.

Technical Assessment During Hiring:

  • Candidates should show proof of excel modeling.
  • Candidates should show proof of created word documents and templates.
  • Candidates should show proof of Powerpoint presentations created.
  • Candidates should show proof of fliers, SOPs created using Canva or other softwares.
  • Excel exercise using live data.
  • Portfolio analysis exercise.
  • AI-assisted SOP/documentation exercise.
  • Workflow documentation exercise.
