Position Summary

As an Entry-Level Scheduling Coordinator, you will serve as the logistical backbone of our daily operations. Managing calendars across a remote workforce requires precision, quick thinking, and excellent communication. In this role, you will coordinate team meetings, align project timelines, and manage external appointments with clients and partners. This is an ideal position for someone who is exceptionally organized, loves puzzle-solving schedules, and wants to build a career in operations, project management, or media administration.

Key Responsibilities

Calendar Management: Masterfully coordinate and maintain complex internal and external calendars for team members, managers, and clients across multiple time zones.

Meeting Coordination: Schedule Zoom/Teams calls, issue calendar invites with appropriate agendas, and ensure all participants have the necessary links and documents beforehand.

Timeline Alignment: Work closely with the creative and production teams to map out production timelines, ensuring content deadlines and internal review sessions are locked in.

Queue & Inbox Monitoring: Monitor incoming scheduling requests via email or internal communication channels (like Slack), resolving conflicts and prioritizing urgent requests.

Administrative Support: Assist with log keeping, basic data entry, and updating project tracking boards (such as TaaS platforms, ClickUp, or Asana) to reflect active schedules.

Qualifications & Skills

Experience: 0–1 years of experience in an administrative, receptionist, customer service, or organization-heavy role (school club administration, volunteer logistics, or internships all count).

Technical Savvy: High comfort level with digital calendar tools (Google Calendar, Outlook) and standard remote office software (Slack, Zoom, Google Workspace).

Time Zone Fluency: Ability to easily calculate and manage meetings across various global time zones without confusion.

Communication & Detail: Flawless written English for professional email correspondence, combined with a sharp eye for detail—missing a double-booked slot shouldn't happen on your watch.

Remote Competency: Highly disciplined, self-motivated, and capable of working independently under minimal direct supervision.
