Front Desk Receptionist

The Front Desk Receptionist is the first point of contact for visitors, clients, and employees. This role is responsible for providing exceptional customer service by greeting guests, answering phone calls, managing appointments, and performing a variety of administrative tasks to support daily office operations.

Key Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls and emails.
  • Schedule appointments, meetings, and maintain office calendars.
  • Receive, sort, and distribute mail and deliveries.
  • Maintain a clean, organized, and professional reception area.
  • Assist with data entry, filing, copying, scanning, and other clerical duties.
  • Manage office supplies and place orders when needed.
  • Provide administrative support to various departments.
  • Handle customer inquiries and direct them to the appropriate staff.
  • Maintain confidentiality of sensitive information.
  • Perform other administrative tasks as assigned.

Qualifications:

  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Attention to detail and professional appearance.
  • Ability to work independently and as part of a team.

Preferred Skills:

  • Experience with multi-line phone systems.
  • Familiarity with scheduling software or office management systems.
  • Basic data entry and record-keeping skills.
  • Ability to remain calm and professional in a fast-paced environment.
