Travel Coordinator (Independent Contractor)

This is a remote, contractor position for Crafted Escapes, a female-founded travel agency. Crafted Escapes is a boutique luxury travel agency, hosted by Departure Lounge under the Virtuoso preferred partner network. We're home to a team of independent travel advisors, each building high-end, highly customized trips for their own clients.
We're looking for an independent contractor Travel Coordinator to provide support across our advisor team. This is a flexible engagement, not a single full-time role tied to one advisor or one schedule. You will have access to a team of 10 advisors, some needing more help than others and each potentially engaging you separately for support on their trips. We anticipate this engagement averaging 20–30 hours per week, though actual hours will vary based on advisor demand and your availability.
What You'll Do
- Build detailed itineraries and help keep complex trips running smoothly.
- Book travel elements and communicate directly with hotels and suppliers.
- Coordinate concierge details including dining reservations, activities, and spa appointments.
- Track reservation confirmations and follow up on outstanding details.
- Keep trip details organized across multiple advisor assignments.
- Assist with trip documentation, such as itinerary packets or travel summaries.
- Take on invoicing, research, or other project-based support as advisors request.
What You Bring
- 1–2 years of travel planning experience required. This role is best suited for someone who knows the industry and can hit the ground running.
- Exceptionally detail-oriented and organized, with the ability to manage multiple advisor assignments at once.
- Strong written and verbal communication skills (English).
- Comfortable working with high-expectation clients and fielding demanding requests with professionalism and composure.
- Quick to Adapt picking up new software and systems quickly.
- Able to stay calm and focused when things get busy or stressful.
- Your own equipment: a reliable computer, internet connection, and cell phone.
- Prior experience working as an independent contractor or running your own services is a plus.
- Passionate about travel and eager to be part of a collaborative, fun team doing what they love!
How This Works
This is an independent contractor position. You'll set your own hours and working methods, and you're free to take on additional clients alongside your work with our advisors. Engagement and pay are arranged directly with each advisor based on the work requested.
As you begin working with each advisor, expect an early conversation about delegation scope, what you're empowered to handle independently and what should be escalated. Each advisor works differently, and that clarity upfront makes the engagement run smoothly for everyone.
Please note that onboarding will include minimal training. We expect candidates to bring working knowledge of the travel industry and be able to contribute confidently from the start.
