HR Assistant - Recruiting & Onboarding

The HR Assistant – Recruiting & Onboarding supports the Human Resources department by coordinating recruiting activities, coordinating onboarding, and providing administrative HR support. This role manages the full‑cycle recruitment process, ensures compliance with hiring and employment verification requirements, and delivers a positive candidate experience from application through orientation. It is ideal for early‑career HR professionals or administrative candidates with recruiting experience.

Role and Responsibilities:

  • Recruiting & Talent Acquisition
  • Staffing coordination — Consult with HR and department leaders to determine staffing needs and plan recruiting strategies.
  • Job postings — Post open positions and maintain external recruiting campaigns.
  • Applicant screening — Review resumes, conduct phone screens, and coordinate interviews.
  • Candidate communication — Provide candidates with role details, expectations, compensation information, and onboarding guidance.
  • Offer coordination — Prepare and extend offers to selected candidates.
  • Recruitment events — Attend job fairs, coordinate with colleges, and support on‑campus recruiting.
  • Maintain weekly and monthly hiring reports and track job openings.
  • Onboarding & Compliance
  • Background checks — Initiate, track, and follow up on background screenings.
  • I‑9 & E‑Verify — Complete I‑9 verification, maintain compliance, and process E‑Verify cases.
  • Guide candidates through onboarding requirements and ensure timely completion of all documentation.
  • Conduct new‑hire orientation and support training completion.
  • Maintain personnel files in accordance with company policy.
  • HR Administrative Support
  • HRIS & ATS management — Maintain applicant tracking systems and complete data entry in multiple HRIS platforms.
  • Provide general HR office support including filing, document management, and responding to employee inquiries.
  • Assist with compliance tracking, credentialing, and certification monitoring.
  • Promote Eisenhower Center through internal and external marketing of job postings.
  • Identify opportunities to improve recruiting, onboarding, and training processes.
  • Attend seminars and training sessions to stay current on HR laws and best practices.
  • Perform other duties as assigned.

Qualifications and Education Requirements:

  • 2+ years of full‑cycle recruiting or high‑volume recruiting experience (preferred).
  • Experience conducting interviews and managing candidate pipelines.
  • Strong attention to detail, accuracy, and organizational skills.
  • Experience with Kronos/UKG (preferred).
  • Ability to apply critical thinking, problem‑solving, and sound judgment.
  • Strong communication skills and ability to build rapport with candidates.
  • Ability to work independently and collaboratively in a fast‑paced environment.
  • Experience with credentialing (preferred).

Preferred Skills:

  • Excellent verbal and written communication skills.
  • Experience with Paycor preferred but not required.
  • Strong time‑management skills with proven ability to meet deadlines.
  • Thorough understanding of EEO, ADA, and related employment laws.
  • Ability to quickly learn ATS, HRIS, and recruitment systems.
  • Proficiency in Microsoft Office Suite.
