Job Description


 

Elm City Montessori School, launched in August 2014, is New Haven’s first public Montessori school. We currently serve approximately 325 students between the ages of 3 and 13. New Haven, Connecticut is a thriving arts, cultural, and education hub, located in the center of a growing community of public Montessori schools.


 

Position Summary:

We are looking for a bilingual professional who can run front-facing communications and help coordinate daily operations for our school's main office during the school year. This is a 10-month position, and this person reports to the Leader of School Operations. The Operations Associate is someone who is highly organized, a problem-solver and a strong communicator. This person must be a motivated individual who has the ability to work in a dynamic, fast paced atmosphere and can effectively prioritize. The Operations Associate will model school protocols/procedures and proactively identify challenges and solutions for our school.


 

Responsibilities: 


Front Desk

  • Greet students, families, staff, and visitors and ensure sign-in/out logs and other pertinent information
  • Manage telephone(s) and our email inbox; accurately takes and delivers messages; routes calls, as appropriate
  • Perform a variety of routine clerical tasks, including photocopying, processing incoming/outgoing mail, coordinating package pick-up/delivery, filing, maintaining tracking logs  
  • Maintain accurate daily dismissal list for bus and pick up
  • Ensure reception area, front lobby, storage areas, and other common spaces are clean and orderly
  • Perform other related duties as assigned or requested


 

Student and Family Information

  • Maintain and secure key student and family data in online systems (PowerSchool, Google Drive, Transparent Classroom, MailChimp) as well as hard copy files, and respond to records requests as needed
  • Manages daily student attendance submission, track student tardiness/absences, participate on the attendance team


 

Operations 

  • Supporting ordering, preparation, and set up for school and community events
  • Support the ordering, inventorying and organization/distribution of supplies and materials
  • Organizing and supporting transportation, communicating with families, including arrival and dismissal
  • Coordinating food service relationship, scheduling, and documentation
  • Supporting student/family enrollment and recruitment
  • Support bus transportation logistics, including field trips
  • Support translation of key documents into Spanish, and Spanish/English interpretation as needed
  • Other duties as assigned


 

Qualifications:

  • Bachelor’s degree preferred
  • 3+ years of experience in office and/or project management. Knowledge of and experience with school operations; prior experience in a charter or NHPS school preferred
  • Bilingual Spanish/English strongly preferred
  • Proficiency with Google docs, MS Word, Excel, Quickbooks and database management
  • Alignment with the mission and vision of ECMS


 

Compensation: Salary $30,00-40,000 based on education and experience. Medical, vision, dental and 401K matching benefits available.
