Implementation Specialist

Role Overview:

This role is the central coordination point for Rendever’s Thrive at Home clinical trial and commercial pilot program. The Implementation Specialist will manage relationships, user experience data collection, and implementation strategy across approximately 50 cities in the US, with senior living communities and home care offices participating in the study, including 16 sites that will also serve as commercial pilots. The ideal candidate is an exceptional communicator and organizer who thrives on keeping multiple workstreams moving, building trust with external partners, and ensuring that every participant - whether in a senior living community, aging in place at home, or serving as a caregiver - has a seamless experience with Rendever’s Thrive Program.


 

Additional Information:

This role is supported by a federal grant which carries several operational requirements. As such, it is critical that you possess strong attention-to-detail and accountability in the service of your role, for instance, as it relates to time tracking and effort allocation. The project you will be supporting includes working with external partners across senior living communities and home care agencies.


 

Community Partner Relations & Engagement

  • Serve as the primary community engagement representative for the Thrive at Home clinical trial across all participating sites.
  • Deliver white-glove onboarding and ongoing support for the 16 commercial pilot sites, ensuring they are set up for success both during and after the study period.
  • Manage staff relationships and engagement at sites involved in the clinical trial, supporting activity directors and coordinating with activity coordinators at each site.
  • Coordinate activity calendar integration: work with senior living staff to schedule Thrive Program sessions twice a week and ensure they appear on community calendars accessible to both resident groups and at-home participants.
  • Receive warm introductions from senior leadership and build ongoing working relationships with each community.

Home Care Office Coordination

  • Coordinate with home care offices nationwide to implement Rendever, including hardware delivery, product setup, and scheduling of onboarding and training for Care Managers and home care aides.
  • Work with home care offices to manage headset returns at the conclusion of the study period, building and maintaining tracking systems to ensure all devices are accounted for.

Participant Experience & Session Readiness

  • Ensure all VR devices across both environments (senior living and at-home) have the required video content uploaded per the Session Guide booklet and that devices are connected and session-ready ahead of each group session.
  • Provide ongoing support for at-home participants connecting to their local senior living community for twice a week sessions and/or to RendeverLive programming.
  • Set up and manage automated notification systems for at-home participants, delivering reminders of upcoming Thrive Program group sessions at 24 hours prior, morning of, and 15 minutes prior.
  • Ensure at-home participants receive the RendeverLive calendar during their study period via physical copy in their welcome kit, weekly email distribution, and in-headset access.

Hardware & Platform Management

  • Collaborate with the Clinical Project Manager to maintain accurate tracking of all study hardware across senior living and home care environments.
  • Coordinate with senior living commercial pilot sites to transition from study participation to paid subscription following the 3-month complimentary post-study period.
  • Build and maintain systems—with support from internal team members—for managing headset return logistics, platform access timelines, and device inventory.

Communication & Reporting

  • Provide weekly progress updates to the PI team on implementation status, partner engagement, and any risks or issues.
  • Maintain accurate records and data in Rendever’s CRM (HubSpot) related to partner status, device assignments, and engagement milestones.
  • Demonstrate empathy and professionalism in all partner and participant interactions.
     

First 90 Days:

  • Complete onboarding with Rendever’s product, the Thrive Program curriculum, and the clinical trial protocol. Develop working fluency with the Session Guide booklet and all hardware/software involved.
  • Establish working relationships with senior living and home care partners involved in the research pilot. Shadow all external calls with these partners and translate knowledge gained into internal knowledge base documents.
  • Conduct introductory calls or visits with the first cohort of commercial pilot sites.
  • Build and validate simple systems (including detailed checklists) for participant notifications, headset tracking and returns, and platform access management.
  • Ensure all devices across active sites are session-ready and that content upload workflows are running smoothly.
  • Deliver weekly status reports to the PI team alongside a project status dashboard covering partner engagement, device readiness, and open issues.
     

Qualifications:

  • Bachelor’s degree in Business, Communications, Healthcare Administration, or a related field; or an Associate’s Degree and 2+ years of experience in project coordination, account management, or customer success; or 4+ years of applicable experience.
  • Exceptional organizational skills with the ability to manage multiple partner relationships and concurrent workstreams across geographies.
  • Strong written and verbal communication skills, with the ability to engage effectively with a diverse range of stakeholders including community activity directors, home care aides, clinical researchers, and older adults.
  • Comfortable with technology and able to learn and teach others to use new software and hardware systems.
  • Highly organized and able to manage multiple tasks and projects simultaneously.
  • Self-motivated with a passion for making a positive impact on older adults and healthcare patients.

Preferred Qualifications

  • Experience working with older adults in a senior living community or home care setting.
  • Experience supporting clinical trials or research studies, particularly in healthcare or aging services.
  • Proven experience in implementation coordination, partner management, or customer onboarding.
  • Experience working in a startup environment, especially involving the deployment of technology and/or virtual reality.
  • Familiarity with VR hardware, CRM tools (HubSpot), and project management software.
