International Business Assistant(ToB / AI / Business Support)
1. Role Overview
You will support the sales team in customer follow-up, opportunity management, project coordination, contract processes, bidding and procurement support, sales data analysis, and administrative support. This role requires efficient coordination of internal and external resources, strong attention to sales process milestones, and standardized management of data, documents, and workflows. Your work will help the team improve sales execution, project advancement, customer management, and payment collection efficiency.
This is a role that offers fast exposure to the full sales cycle of AI ToB business, while also helping you build experience across the President’s Office, international business, sales operations, and project coordination. We are looking for someone who is detail-oriented, reliable, highly communicative, execution-driven, and equipped with an international perspective and strong business sense.
2. Key Responsibilities
1. Overseas Business Process Support and Opportunity Management
Support the President’s Office and International Business team with business activities, including travel booking, itinerary planning, meeting coordination, and related arrangements.
Assist the sales team in handling inbound leads, organizing customer information, requirement notes, and follow-up items.
Maintain the completeness and accuracy of CRM data, regularly update opportunity status, and prepare sales data reports.
Assist in tracking key sales milestones, including proposals, quotations, contracts, approvals, and payment collection.
Organize and optimize sales SOPs to improve process standardization and collaboration efficiency.
2. Procurement and Bidding Document Support
Organize company qualifications, product introductions, solution documents, demo materials, and other procurement-related materials.
Assist in preparing, formatting, reviewing, submitting, and tracking bidding documents.
Track procurement project timelines, document requirements, and process progress.
Build and maintain a standardized sales material library to improve document access and delivery efficiency.
3. Project Coordination and Internal Communication
Coordinate with sales, pre-sales, product, delivery, legal, finance, and other internal teams to ensure customer projects move forward smoothly.
Support international cross-time-zone meetings, prepare meeting minutes, break down action items, and follow up to ensure closure.
Track PoC progress, customer feedback, delivery status, and key risks to ensure smooth end-to-end project execution.
Assist with contract draft coordination, internal approval processes, delivery follow-up reminders, and related administrative tasks.
4. Data and Sales Operations Support
Track and maintain sales data, including pipeline, conversion rates, project stages, and customer status.
Assist in analyzing bottlenecks across different stages of the sales process and support project review sessions.
Regularly prepare weekly and monthly sales reports, as well as business analysis materials, to support business decision-making.
5. Customer Information and Contract Process Management
Manage contract circulation, company seal application, archiving, and related document management.
Track payment collection milestones and remind relevant stakeholders to follow up in a timely manner.
Assist with customer relationship maintenance, including daily communication coordination, follow-up reminders, and delivery of cooperation materials.
Properly manage customer information, project materials, business documents, and sales data to ensure accuracy, completeness, and traceability.
6. Administrative Support for the President’s Office
Support daily administrative tasks for the President’s Office, including company qualification applications, travel arrangements, visa applications, and related matters.
Assist with overseas company affairs, international business support, overseas recruitment coordination, and other related work.
Complete other business support and administrative coordination tasks assigned by the supervisor.
3. Qualifications
1. Experience Requirements
Current students or recent graduates are welcome to apply. Prior internship experience in executive assistance, sales support, business operations, project coordination, or international business support is preferred.
Experience supporting ToB sales is preferred. Experience in AI, SaaS, enterprise services, or government and enterprise clients is a plus.
Experience with CRM systems, sales data organization, business document processing, contract process follow-up, or bidding support is preferred.
Experience in international business communication, overseas customer support, or cross-time-zone collaboration is a plus.
2. Skills Requirements
Proficient in Excel, Word, and PowerPoint, with the ability to create pivot tables, reports, formatted documents, and integrated materials.
Strong written Chinese communication skills, with the ability to independently prepare meeting minutes, weekly reports, project follow-up records, and business support documents.
Basic English business email reading and writing skills are required; candidates who can use English as a working language are preferred.
Able to quickly understand the full sales cycle and accurately manage timelines, responsible parties, and delivery requirements for various tasks.
Strong communication and coordination skills, with the ability to work effectively with sales, pre-sales, product, delivery, finance, legal, internal teams, and external customers.
Strong document management skills, with the ability to establish clear systems for file classification, archiving, retrieval, and version control.

Strong confidentiality awareness, with the ability to properly handle customer information, project materials, sales data, and sensitive internal company information.
4. Education Requirements
Master’s degree or above is preferred; overseas top university background is preferred.
Majors in computer science, artificial intelligence, economics, management, statistics, marketing, international business, or related fields are preferred.
Candidates with a combined engineering and business background are preferred. Strong logical thinking, learning ability, and cross-cultural communication skills are highly valued.
