Administrative Assistant
Job Summary
Dynamic Potential Executive Coaching, LLC is seeking a highly organized and detail oriented Administrative Assistant to support daily business operations for a professional executive coaching and leadership development firm. This position provides administrative support by coordinating schedules, maintaining accurate records, preparing documents, communicating with clients, and assisting with office operations. The ideal candidate is professional, dependable, and able to manage multiple priorities while delivering excellent customer service in a confidential business environment.
Job Responsibilities
- Coordinate calendars, schedule client meetings, coaching sessions, and virtual appointments
- Respond to phone calls, emails, and general inquiries in a professional and timely manner
- Prepare correspondence, presentations, reports, and other business documents
- Maintain organized electronic and physical files while protecting confidential information
- Assist with meeting logistics, document preparation, and administrative support for workshops and leadership programs
- Monitor office supplies, place orders as needed, and support general office organization
- Enter and maintain accurate client and business records using office software and scheduling systems
- Provide administrative support for special projects and other operational tasks as assigned
Qualifications
- High school diploma or equivalent required
- Associate degree or coursework in business administration or a related field is preferred
- Previous administrative, office support, customer service, or receptionist experience is preferred
- Proficiency with Microsoft Office including Word, Excel, Outlook, and PowerPoint
- Experience using video conferencing and calendar management platforms is preferred
- Strong written and verbal communication skills
- Excellent organizational skills with strong attention to detail
- Ability to manage confidential information with professionalism and discretion
- Ability to prioritize tasks and work independently while contributing to a collaborative team environment
