LEASING ADMIN
The Leasing Admin is responsible for the community’s administrative needs relative to leasing apartments.
Property Location(s): This position will support our current lease-up in Hillsdale, NJ and also our property in Chatham, NJ split between the week.
In the fall, this position is anticipated to work out of the Chatham/Millburn area; schedule subject to change based on business needs.
This is a great opportunity for a career property management individual who wants to learn a lease-up from the ground up.

Job Responsibilities:
Minimum Required Qualifications:
- High school diploma or equivalent
- 1+ years’ experience in property management
- Strong interpersonal skills
- Proficient in computer programs, including Microsoft Office and Yardi
- Valid New Jersey Driver’s License
- Ability to work with minimal supervision
- Well organized with excellent time management skills
- Knowledge of rules, regulations and laws regarding property management
- Maintain regular and punctual attendance
- Work overtime hours as required to complete assignments/projects
- Comply with all company policies and procedures

Leasing Administration
- Handle all administrative duties as needed
- Maintain a professional, friendly, and inviting atmosphere in the leasing center
- Greet and register all prospective residents and obtain necessary guest card information
- Answer phone promptly and courteously and maintain the phone traffic recording for prospect phone calls and visits.
- Direct email and phone leads to the leasing team
- Maintain prospect and resident database in customer management system (Yardi software)
- Prepare and distribute daily and weekly leasing reports to upper management team
- Ensure accurate and timely reporting of move-ins and move-outs
- Maintain orderly files for all prospects and residents
- Scan leases and file accordingly
- Maintain complete resident files for every resident
- Maintain general office files
- Maintain inventory of office supplies, and place orders as needed
- Keep collateral materials orderly and readily available for leasing staff
- Help leasing team with preparation of lease packages and move in packets as needed
- Assist in the scheduling of vacant apartment turnover work as needed
- Prepare resident/prospect correspondence as needed
- Coordinate promotional events as needed with site staff
- Update apartment pricing and community details on ILS websites, as needed
- Complete other duties as assigned by upper management
- Ensure Fair Housing and company policy compliance

- Greeting walk-in and existing appointments
- Answer calls and email inquiries.
- Check voicemail consistently.
- Check office supplies and make any orders required (Mondays Only).
- Check and update files.
- Keep office and common areas tidy and presentable.
- Schedule lease signings as needed.
- Prepare move-in packets for new move-ins
- Prepare resident move-in gifts as needed
Safety
- Learn and ensure compliance with all company, local, state and federal safety rules
- Ensure that unsafe conditions are corrected in a timely manner
- Direct staff to follow a “safety first” principle
