Reports to: CA Department Project Administrator
Location: Headquarters Office in Flanders, NJ preferred, but we are open to having this candidate report to Hackensack or Wall, NJ
Salary: $25-$40/hr, based on experience and qualifications
Brief Description:
Seeking a motivated and organized individual to assist the Construction Administration Department with high-level administrative tasks. Must possess a strong attention to detail and willingness to learn and grow into the role. This position offers the opportunity to support experienced Project Administrators in their day-to-day tasks while developing the skills necessary to independently manage project related responsibilities over time. Knowledge of New Jersey Local Public Contract Law preferred but willing to train the right individual.
Examples of work/duties:
- Support the preparation and review of project documentation including addendums, payment recommendations, change orders, bid recommendations, specifications, and reports.
- Reviewing documents for consistency, ensuring that formatting is consistent with internal templates and style guides.
- Troubleshooting document issues and addressing problems related to formatting, styles, and other document-related issues.
- Collaborating with project teams to address document issues and meet project timelines.
- Managing fast paced timelines, ensuring that problems are resolved quickly, and tasks are completed on time.
- Prepare Bid Postings on QuestCDN Platform.
- Review Contractor Bid Packages for completeness.
- Tracking Client Status Report deadlines and engaging team members.
- Routinely Coordinate with Project Administrators on upcoming tasks and deadlines and assist where needed.
- Provide administrative support in the preparation of Specifications, for both Company standards and compliance with Local Public Contract law.
- Applying advanced Word features such as tables of contents, styles, headers and footers, links, figures, and document property fields.
- Attend Specification Committee meetings and assist in preparation of meeting materials.

Requirements (education, licensing, certifications, etc.):
- Possess a valid driver’s license.
- High School Diploma required, but Degree in related field is preferred.
- Proficiency in Microsoft Excel, Word and Outlook.
- Ability to work collaboratively in a team environment and adapt to changing priorities.
- Proficiency in Bluebeam preferred.
This is a full-time position located at Headquarters Office in Flanders, NJ. We are open to discussing this position being based out or our Northeast Office in Hackensack, NJ or our Central NJ Office in Wall, NJ. The work hours are 8 a.m. to 5 p.m., Monday through Friday.
