Position Summary
The Proposal Coordinator supports the development of Statements of Qualifications (SOQs), proposals, and related marketing materials across all CTI offices. This position works closely with technical staff, project managers, business development professionals, and marketing team members to coordinate proposal efforts, maintain marketing content, and produce high-quality submissions that align with client requirements and company standards.
This is an excellent opportunity for an early-career marketing or communications professional interested in the Architecture, Engineering, and Construction (A/E/C) industry and proposal development. Experience with Adobe InDesign is required.
Essential Duties and Responsibilities
• Assist with the preparation and production of SOQs, proposals, and qualification packages for municipal, state, and private-sector clients.
• Review RFQs and RFPs to help identify submission requirements and deadlines.
• Coordinate with technical staff to gather resumes, project descriptions, references, and supporting materials.
• Format, edit, and proofread proposal content for accuracy, consistency, and compliance.
• Assemble proposal documents and assist with final submission preparation.
• Maintain and update proposal-related content, including staff resumes, project sheets, boilerplate language, graphics, and visual assets.
• Organize and manage electronic proposal files and content libraries.
• Support the development of presentations, qualifications packages, marketing collateral, and website content updates.
• Assist with creating and maintaining proposal templates and standard documents.
• Help develop graphics and document layouts using Adobe InDesign.
• Work with project managers, engineers, and marketing staff across multiple offices.
• Track proposal schedules and key milestones.
• Assist with managing multiple deadlines and priorities.
Required Qualifications
• Associate's or Bachelor’s degree in Marketing, Communications, Journalism, English, Graphic Design, Business, or a related field.
• 0–3 years of professional experience in marketing, communications, graphic design, proposal coordination, administrative support, or a related role.
• Demonstrated experience using Adobe InDesign is required.
• Candidates must be able to provide work samples or a portfolio demonstrating Adobe InDesign proficiency, including document layout, formatting, and graphic design capabilities.
• Strong written, verbal, editing, and proofreading skills.
• Excellent attention to detail and organizational skills.
• Ability to manage multiple assignments and meet deadlines.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to work collaboratively with technical and non-technical professionals.
Preferred Qualifications
• Internship or professional experience in the A/E/C industry.
• Experience supporting proposals, marketing initiatives, or business development efforts.
• Familiarity with Adobe Creative Suite, including Photoshop and Illustrator.
• Experience creating professional documents, presentations, or marketing materials.
