Front Desk Attendant
The Front Desk Attendant - Office Administrator provides vital support for smooth daily operations, managing administrative tasks, welcoming visitors, handling communications, and assisting with outreach to new and existing employees. This role demands excellent bilingual (Spanish) communication skills and proficiency in MS Office and use of technology to support managers and employees efficiently.
RESPONSIBILITIES AND DUTIES
- Primary lead in answering phone calls
- Greet clients and guests to the office
- Ensuring guests are comfortable and guide to the right office personnel
- Organize and distribute weekly paychecks, documents and paperwork to or from the field
- Manage the reception area, conference rooms, and common areas including the kitchen and breakroom to keep a clean and professional appearance
- Write and distribute texts, emails, correspondence memos, letters, and forms
- Assist in new hire onboard orientation and documentation along with data entry
- Order office/kitchen supplies and research pricing and suppliers as to keep costs within budget
- Maintain service appointments for office equipment to ensure functionality
- Ordering repairs for office equipment and maintenance, connecting with and escorting vendors
- Managing schedules for conference and community spaces
- Prepare FedEx and UPS shipments
- Process all incoming and outgoing mail
- Serve as a liaison with the office property management company
- Facilitate company events
