Position Summary
The Operations / Supply Chain Specialist is responsible for coordinating end-to-end supply chain activities including purchase order management, international logistics, inbound and outbound order fulfillment, and cross-functional coordination with vendors, customers, 3PL warehouses, and manufacturing facilities. This role ensures smooth product flow from suppliers to customers while supporting operational efficiency, accuracy, and service level performance.
Key Responsibilities
Purchase Order & Logistics Management
- Manage purchase orders (POs) from issuance through delivery confirmation.
- Coordinate international ocean freight shipments, including booking, tracking, and documentation.
- Work with customs brokers to ensure timely and compliant customs clearance.
- Coordinate inland transportation from port to warehouse or final destination.
Inbound & Outbound Order Management
- Manage all inbound and outbound order processing and fulfillment activities.
- Serve as the primary point of contact for 3PL warehouse operations.
- Monitor order status, resolve fulfillment issues, and ensure on-time delivery performance.
- Ensure inventory accuracy between ERP systems and warehouse records.
Vendor & Supplier Coordination
- Communicate with vendors to manage inbound supply chain requirements.
- Track supplier performance, delivery schedules, and shipment readiness.
- Resolve supply disruptions, delays, or quality-related logistics issues in coordination with suppliers.
Customer & Issue Resolution
- Serve as a key contact for customers regarding outbound shipment issues.
- Investigate and resolve order discrepancies, delays, or shipping issues.
- Coordinate with internal teams and logistics partners to ensure customer satisfaction.
Manufacturing & R&D Support
- Collaborate with manufacturing facilities on production planning, R&D projects, and sampling requests.
- Coordinate sample shipments and product development logistics.
- Support cross-functional initiatives between operations, quality, and production teams.
Qualifications
Required Skills & Experience
- Strong interest and passion for operations and supply chain management.
- Basic understanding of supply chain and logistics concepts (PO, shipping, customs, warehousing, order fulfillment).
- Proficiency in Google Workspace (Sheets, Docs, Drive, Gmail) and Microsoft Office (Excel, Word, Outlook).
- Strong organizational skills with attention to detail and ability to manage multiple priorities.
Language Requirements
- Bilingual in English and Chinese (Mandarin required for supplier and factory communication).

Preferred Qualifications (Optional)
- Experience in supply chain, logistics, manufacturing, or import/export operations.
- Familiarity with 3PL warehouse operations or ERP systems.
- Exposure to food manufacturing or consumer packaged goods (CPG) industry.
