Associate Client Advisor

Benchmark Wealth Management is a boutique wealth management firm located in Cincinnati, OH. We are a growing RIA with clients primarily located in the Midwest and Southeast. To support our continued growth, we are looking to add to our advisory and planning team. As a Client Service Advisor, you would support the firm in all aspects of client service and client experience, marketing, administration, and compliance. In addition, the role will grow to include other responsibilities within the financial planning and investment processes.

ESSENTIAL FUNCTIONS

Client Service:

Provide exceptional client experience in person, over the phone, and via written communication

Greet clients in a professional and friendly manner; build and nurture the client relationship

Monitor client account activity, research and resolve issues, and follow through to ensure client’s needs are met

Prepare and review all new account paperwork to ensure documents are complete and in good order

Create, maintain, and track an RMD list utilizing internal and custodian solutions

Resolve client service issues and manage problem resolution

 

Client Administration:

Analyze reports to determine the appropriate action to be taken on behalf of client accounts

Make proactive use of technology to streamline client interactions

Coordinate account transfers and confirm cost-basis information for incoming assets

Verify client account cash balances, generate and review monthly available cash report

Manage proxy voting

Facilitate a document and file management system

 

Client Onboarding:

Monitor and initiate action on daily custodial alerts and assigned tasks

Help build and manage a client onboarding process

Help clients initially access the online Client Portal

 

Administrative:

Open, review, and appropriately distribute incoming mail

Order supplies for the office via applicable approved vendors

General office management and other ad-hoc duties as assigned

Provide office administrative support, phone support

Maintain Expense Management System including expense reports and reimbursement requests.

Communicate with team members and third parties to facilitate workflow and resolve issues

 

Team Support:

Coordinate client meetings, including assisting each advisor with meeting preparation, and participation in client meetings to support the completion of paperwork, demonstrating that you are an integral part of the client experience

Prepare appointment documentation, investment and planning review materials as requested by the team

Sales Support:

Maintain Customer Relationship Management (CRM) client database, Pipeline and other sales-related reporting

Database management to support marketing campaigns including direct mail/email projects

Support overall marketing efforts including event management, community involvement events, and board participation.

  

Investment Management Support:

Run and send out performance reports using the firm’s IT systems

Ensure preparation of client quarterly investment reports and associated invoices for firm services

Prepares periodic investment performance reports

Manage and implement computerized client account aggregation software and communicate with clients on this software use

Maintain and reconcile aggregated account data from Morningstar’s ByAll Accounts platform into portfolio management software (Tamarac) for a book of business of Registered Investment Advisors. The job entails downloading, posting, and reconciling account data, using Microsoft Excel, manual data entry from client statements, responding to client requests and questions, and meeting monthly reconciliation deadlines.

 

Financial Planning Support:

Compile and input client data and current account information into financial planning software

Guide clients in the gathering of information necessary for financial planning

Prepare agendas, reports, and analyses for client meetings and upon client request
