Klein & Sheridan, LC is a small, mission-driven consumer protection law firm. We represent individuals in disputes with big financial institutions, including credit reporting agencies, mortgage companies, debt collectors, servicers, and other entities whose practices may affect people’s credit, homes, and financial stability.
We are building a dedicated intake process and are hiring a Client Intake & Administrative Paralegal to support both potential clients and the day-to-day operations of the office. This role is ideal for someone who enjoys helping people, asking good questions, organizing information, and keeping documents and office systems running smoothly.
Role Overview
As a Client Intake & Administrative Specialist, you will often be the first point of contact for people reaching out to the firm for help. You will speak with potential clients by phone and through online inquiries, gather key facts and documents, and help determine whether their situation may fit the types of cases we handle.
This role also includes significant administrative and office support responsibilities. In addition to intake work, you will help manage physical and digital documents, organize files, assist with filing and scanning, maintain office records, and support attorneys and staff with day-to-day administrative needs.
This is a front-line intake, administrative, and document-management position. It is not primarily a litigation or legal drafting role, but it plays an important part in helping the firm evaluate potential cases and keep client and case information organized.
Responsibilities
- Answer and return calls and online inquiries from potential clients.
- Conduct structured intake interviews using firm checklists, scripts, and criteria.
- Listen empathetically to callers dealing with stressful financial, credit, or legal problems.
- Ask clarifying questions and accurately capture timelines, facts, and relevant details.
- Use firm-provided criteria to help assess whether a matter should be moved forward for attorney review.
- Clearly communicate next steps to potential clients, including when the firm is unable to take a case.
- Prepare clear and concise intake summaries for attorney review.
- Enter and maintain accurate information in intake and case-management systems.
- Follow up with potential clients for missing information, documents, or clarification.
- Coordinate with attorneys and staff to schedule consultations or follow-up calls.
- Upload, label, and organize documents in the firm’s digital filing systems.
- Scan, save, and file incoming mail, client documents, court documents, and other materials.
- Maintain orderly physical and digital files.
- Assist with document management, including organizing, naming, storing, and tracking documents.
- Help process mail, correspondence, and routine office paperwork.
- Assist with filing, copying, scanning, and other general office tasks.
- Support attorneys and staff with administrative projects as needed.
- Maintain confidentiality and professionalism when handling sensitive client and case information.
Qualifications
Required
- Experience in customer service, call center work, legal intake, administrative support, legal assistant work, social services, office support, or another client-facing role. Internships and part-time experience count.
- Strong phone and interpersonal skills.
- Comfortable speaking with people who may be stressed, upset, confused, or frustrated.
- Strong attention to detail and ability to follow structured processes.
- Strong organizational skills and ability to manage documents carefully.
- Comfortable using technology, including cloud-based software, online forms, email, scanners, and multiple applications at once.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Professional written communication skills.
- Available to work full-time, Monday–Friday, during standard business hours.
- Local to Hurricane, WV or within reasonable driving distance.
- Student Status: Must have graduated or have a confirmed Summer 2026 graduation date.
Preferred
- Interest in consumer protection, access to justice, or public-interest work.
- Experience in a law office, legal services setting, or professional office environment.
- Familiarity with tools like Clio, Lawmatics, or other intake, CRM, or case-management systems.
- Experience with scanning, digital filing, document organization, or paperless office systems.
- Prior experience handling high-volume calls, intake, triage, or administrative workflows.
Position Details
Location: Hurricane, WV
Job Type: Full-time
Schedule: Monday–Friday, standard business hours
Compensation: $18-$20.50, based on experience
Start Date: Flexible; typically within 30 days of hire
