Project and Installation Department Assistant
Job Summary
The Project and Installation Department Assistant provides technical, administrative, and project coordination support to the Project and Installation Department. This position assists with project documentation, installation planning, scheduling, data management, logistics coordination, and communication among project teams, customers, suppliers, and internal departments to support the successful execution of automation and manufacturing projects.
Key Responsibilities
Documentation and Project Coordination
- Maintain and update installation project documentation, including drawings, manuals, training records, reports, and project files.
- Prepare installation progress reports, weekly and monthly summaries, and ensure accurate recordkeeping for project traceability.
- Coordinate installation schedules, personnel assignments, material requests, equipment rentals, and logistics tracking to support project execution.
- Data Management and Reporting
- Enter, verify, and maintain project data, including labor hours, progress updates, costs, and other operational information.
- Utilize company systems and databases to update records and generate reports.
- Assist in tracking departmental KPIs and preparing management reports.
- Administrative and Communication Support
- Support daily departmental operations by managing correspondence, meeting coordination, meeting minutes, and office-related administrative activities.
- Serve as a liaison between installation teams, project managers, and other departments to facilitate effective communication and issue resolution.
- Asset and Continuous Improvement Support
- Maintain tool and equipment inventory records, conduct periodic audits, and coordinate transfers between project sites.
- Participate in departmental training, process improvement initiatives, and other assignments as directed by management.
Qualifications
- Bachelor's degree in Mechanical Engineering, Electrical Engineering, Automation Engineering, Industrial Engineering, or a related engineering field required.
- Bilingual in Chinese (Mandarin) and English, with strong verbal and written communication skills.
- Strong organizational, analytical, and problem-solving abilities with attention to detail.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.
- Ability to read and understand engineering drawings, technical documents, project schedules, and installation reports.
- Experience with ERP systems, SAP, CRM, or project management software is preferred.
- Ability to manage multiple tasks and priorities in a fast-paced project environment.
- Strong interpersonal skills and ability to work effectively with project managers, engineers, installation teams, customers, and suppliers.
- Additional Requirements
- Must be willing and able to travel frequently to customer and project sites throughout the United States.
- Valid driver's license and ability to obtain customer site access as required.
- Prior internship or work experience in manufacturing, automation, engineering, construction, or project coordination is preferred.
- Ability to work extended hours, weekends, and holidays when required by project schedules.
- Physical Requirements
- Ability to sit, stand, walk, and work in office, manufacturing, and construction environments.
- Ability to occasionally lift and carry up to 25 pounds.
- Ability to comply with all customer and company safety requirements while working on project sites.
