Position Summary
The Project Coordinator / Safety & Compliance Specialist supports project execution while ensuring compliance with company safety policies, OSHA regulations, FMCSA/DOT requirements, and industry best practices. This role coordinates projects, safety programs, compliance initiatives, training activities, and process improvements while serving as a key link between management, field personnel, drivers, contractors, and customers.
The ideal candidate is organized, detail-oriented, proactive, and committed to safety, compliance, and operational excellence.
Key Responsibilities
Project Coordination & Process Improvement
- Support project planning, scheduling, execution, and closeout activities.
- Maintain project files, documentation, and records.
- Coordinate communication between management, field personnel, contractors, customers, and drivers.
- Monitor project progress and assist with reporting and compliance tracking.
- Identify opportunities to improve processes, productivity, and operational efficiency.
- Support special projects and operational initiatives as assigned.
Safety & Compliance
- Implement and maintain safety programs in compliance with OSHA, FMCSA, DOT, and company requirements.
- Conduct safety inspections, audits, and compliance reviews.
- Maintain Driver Qualification Files (DQFs), safety records, and regulatory documentation.
- Investigate incidents, accidents, and near-misses, recommending corrective actions.
- Assist with policy development, compliance monitoring, and risk mitigation efforts.
- Promote a positive safety culture throughout the organization.
Training & Development
- Coordinate and deliver safety and compliance training for employees, drivers, and contractors.
- Maintain training records and documentation.
- Support onboarding and ongoing compliance education programs.
- Facilitate training related to HOS, CSA, OSHA, FMCSA/DOT requirements, accident reporting, and driver wellness.
Qualifications
Education
- Bachelor's Degree preferred in Industrial Engineering, Occupational Safety, Construction Management, Logistics, Transportation, Business Administration, or a related field.
Experience
- Minimum 1 year of experience in Project Coordination, Safety, Compliance, Construction, Transportation, Logistics, Operations, or a related field.
- Experience with OSHA, FMCSA, DOT regulations, audits, training coordination, and compliance documentation is preferred.
Skills & Competencies
- Fluent in English and Spanish (written and verbal) – Required.
- Strong communication, organization, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to compliance.
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Experience with project management, safety, or transportation software is a plus.
- Familiarity with Artificial Intelligence (AI) tools and the ability to leverage AI technologies to improve productivity, reporting, process efficiency, and operational performance is highly desirable.
- Eligible to work in the United States.
Working Conditions
- Approximately 95% are office-based, and 5% are field visits, inspections, training sessions, or customer locations.
- Occasional travel may be required for project support, audits, training, or meetings.
