Position Summary
Home Style Builders Inc. is seeking a reliable, organized, and proactive Office Secretary / Administrative & Marketing Coordinator to support daily office operations and assist with company marketing efforts. This position serves as the first point of contact for customers, vendors, and clients while also supporting administrative functions, scheduling, communication, and business development initiatives.
The ideal candidate is professional, detail-oriented, customer-service driven, and capable of working independently in a fast-paced construction office environment.
Compensation
- Hourly Rate: $20.00 – $22.00 per hour, depending on experience, qualifications, reliability, and performance
- Position classified as nonexempt hourly employee
- Overtime paid in accordance with California law and Company policy
- Employee may be eligible to receive bonuses in the form of commissions for new customers brought to the Company, up to a maximum of $2,000 per month, as agreed upon in writing by the Company.
Essential Job Duties
Administrative & Office Support
- Answer incoming phone calls professionally and direct calls appropriately
- Greet clients, vendors, and visitors in a courteous and professional manner
- Maintain office organization, filing systems, and company records
- Schedule appointments, meetings, and inspections
- Assist management with administrative tasks and daily operations
- Prepare documents, reports, invoices, and correspondence
- Monitor office supplies and place orders as needed
- Maintain confidentiality of company and customer information
- Assist with payroll time records and employee paperwork as directed
- Coordinate communication between office staff, field crews, vendors, and customers
- Manage incoming and outgoing mail and email communications
Customer Service Responsibilities
- Respond to customer inquiries in a timely and professional manner
- Follow up with leads, vendors, and customers regarding appointments and services
- Maintain positive customer relationships and company reputation
- Handle customer concerns professionally and escalate issues when necessary
Marketing & Business Development
- Assist with company social media accounts and online marketing efforts
- Create and schedule social media posts and promotional content
- Research competitors and industry trends to improve marketing strategies
- Make telemarketing and follow-up calls to vendors, property owners, and potential clients
- Help develop new business relationships and networking opportunities
- Assist with online advertisements, marketing campaigns, and company branding
- Maintain and update marketing databases and contact lists
- Support website updates and online presence as needed
Qualifications
- High school diploma or equivalent required
- Previous administrative, receptionist, or office experience preferred
- Marketing or social media experience preferred
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
- Ability to work independently and stay proactive
- Professional appearance and demeanor
- Basic knowledge of Microsoft Office, Google Workspace, and social media platforms
- Ability to maintain confidentiality and professionalism at all times

Work Environment

Reporting Structure
This position reports directly to management and works closely with office staff, field supervisors, vendors, and customers.
