Junior Accounts Payable Specialist
Position Summary The Junior Accounts Payable Specialist supports the full-cycle payables function across Confidential Company's portfolio of active development projects, stabilized multifamily and hospitality assets, and family office entities. Working closely with senior finance and operations team members, this position assists in ensuring that vendor invoices, contractor draw requests, and property operating expenses are processed accurately, routed through the appropriate approval chain, and paid on time — all within a multi-entity, multi-property environment.
The ideal candidate has some exposure to real estate accounting or general AP in a professional setting and is eager to grow within a dynamic, fast-moving environment. You will be mentored by experienced team members and gain hands-on exposure to ground-up development costs, stabilized asset operations, and ownership-level disbursements. This is a detail-oriented role with a clear path to expanded responsibility for candidates who demonstrate accuracy, reliability, and a desire to learn the financial architecture of a real estate platform.
Key Responsibilities
Invoice Processing
- Receive, review, and code invoices across multiple entities, properties, and cost categories — including development hard costs, soft costs, and stabilized operating expenses, with guidance from senior team members
- Assist in matching invoices to executed contracts, approved purchase orders, and lender-approved budgets where applicable
- Enter invoices into the accounting system and route through the appropriate multi-level approval workflow by entity and property
- Maintain complete, organized documentation files for all disbursements to support internal audits and reporting
Payment Processing
- Assist in preparing weekly check runs, ACH batches, and wire transfers across multiple entity bank accounts under the direction of the senior AP or finance team
- Support payment sequencing in alignment with vendor terms, construction draw schedules, and ownership cash flow priorities
- Help maintain current and accurate vendor records including W-9s, banking details, insurance certificates, and licensing documentation
- Assist as a point of contact for vendor and contractor payment inquiries, escalating discrepancies as needed
Property & Lease-Related Payables
- Process recurring operating expenses across the stabilized portfolio including utilities, landscaping, maintenance contracts, property management fees, and hospitality vendor payments
- Assist in coding and tracking CAM expenses by property in preparation for year-end reconciliation
- Help process mortgage payments, property tax installments, and insurance premiums accurately and on time across all entities
- Coordinate with property managers and asset managers to ensure invoices are properly reviewed and approved prior to disbursement
Development & Construction Payables
- Assist in processing general contractor and subcontractor invoices and draw requests in coordination with the project management and development teams
- Support tracking of development cost disbursements against approved project budgets, flagging variances for senior review
- Help maintain organized payment records to support construction loan draws, lender reporting, and cost certification requirements
- Assist with coordination of equity contributions, capital calls, and related intercompany transactions under the guidance of ownership and external advisors
Month-End & Reporting
- Support month-end close by ensuring invoices are processed, open liabilities are accrued, and entity-level cutoffs are met
- Assist in reconciling the AP subledger to the general ledger across all entities and flagging unreconciled items for timely resolution
- Help prepare AP aging reports by property and entity for review by senior team members
- Maintain organized digital filing systems that support internal reporting and external audit, lender, or investor requests
Compliance & Controls
- Help ensure disbursements comply with company policies and internal controls, escalating exceptions to senior team members
- Assist in the preparation and filing of annual 1099s for applicable vendors, contractors, and service providers
- Support responses to audit, lender, or investor requests by pulling invoice packages, approval records, and payment support documentation
- Flag potential duplicate invoices, unsupported charges, or budget overruns for review
Qualifications
- 1–2 years of accounts payable or general accounting experience; real estate, development, or property management exposure a plus
- Some experience or coursework in general ledger coding, chart of accounts structures, or basic accounting principles
- Proficiency in Microsoft Excel; familiarity with pivot tables and basic data organization
- Exposure to real estate accounting platforms (Yardi, MRI, AppFolio, Sage 300, or similar) is a plus but not required
- Highly organized with strong attention to detail and a commitment to accuracy
- Strong written and verbal communication skills; comfortable following up with vendors, contractors, and internal team members professionally
Preferred Qualifications
- Some exposure to construction or development project payables, even in an administrative or support capacity
- Familiarity with a family office, private equity real estate firm, or owner-operator environment
- Basic understanding of CAM reconciliations, lease administration, or commercial property payables
- Awareness of 1099 preparation and vendor compliance workflows
- Associate's or Bachelor's degree in Accounting, Finance, or a related field (in progress or completed)
